Job Description

POSITION TYPE:

This is an independent contractor (1099) role. The position is remote but candidate must live in Houston and set-up programs in Houston, Austin and San Antonio.

Role Description

Program Design

  • Develop continuing education programs, in collaboration with program committees, from inception to delivery including:
  • Coordinate and attend regular program committee meetings
  • Work with program committee leads to develop a value proposition for each program
  • Work with program leads on securing speakers
  • Coordinate speaker planning calls
  • Create and maintain annual program calendar
  • Populate chapter programs on National calendar

Program Logistics

  • Secure program venues and work with catering and A/V
  • Assure all program details are in order ensuring an exceptional attendee experience
  • Manage program project in Monday.com
  • Create email reminders and post-program emails
  • Maintain registration lists and ensure all are registered in salesforce
  • Identify first time attendees and reg list breakdown but type
  • Mark attendance, close out program and make the webpage past tense
  • Upload attendee lists into email program for post-program email/survey
  • Arrive at in person programs early for set-up
  • Select and order speaker gifts and packaging
  • Write speaker thank you notes
  • Set-up program in board portal
  • Register board and advisory board members for programs
  • Prepare attendee name tags
  • Send speaker reminder 2 days prior to program
  • Prepare run of show and script as well as pre-show looping reel
  • Prepare registration forms in Wufoo if necessary
  • Maintain program budget
  • Coordinate with videographer
  • Coordinate board meeting space if following program

Program Promotion

  • Set-up program on website and event management system
  • Create program flyers

Program Tracking and Reporting

  • Maintain program statistics and trends for board reporting and prepare quarterly program report in collaboration with the program committees

Skills And Qualifications

  • Comfort working with the Microsoft Office Suite and Office 365 (Excel, Word, Outlook and PowerPoint primarily), email marketing programs, Wufoo or comparable forms management software, etc.
  • Experience with Monday.com, social media platforms, email platforms such as Constant Contact and graphics platforms such as Canva are a plus
  • Experience in event/program design and development
  • Customer service oriented with a professional and friendly demeanor
  • Strong analytical and problem-solving abilities under pressure
  • Ability to work independently as well as with a team
  • Must be resourceful, flexible and agile, able to work in a fast-paced and dynamic environment
  • Exceptional organizational and time management skills
  • Strong understanding of event and program promotion and marketing
  • Strong attention to detail and results-oriented
  • The desire to take ownership, accountability, and work hard to see all projects through to completion
  • Strong verbal, interpersonal, and written communication skills
  • Ability to research topics and resources that are relevant to target audience and/or programs offered.
