JOB BRIEF

The Program Assistant (PA) provides day-to-day programmatic, operational, resource, and administrative support for the Women, Peace and Security Team in the Center for Thematic Excellence. The PA assists in developing and updating informational and programmatic material, coordinates event logistics and event development supports budget and contract management activities, and conducts basic research as needed. This position is based in Washington, DC and will report to the Director for the Women, Peace and Security Team.

TARGET SALARY RANGE

Grade 7 – $53,000 – $54,0000

The Institute uses the General Schedule salary tables for administering compensation. Offers are determined based upon candidate qualifications, related experience, internal equity, and the amount budgeted for the position.

RESPONSIBILITIES

Program and Administrative Support:
* Provides administrative and communications support for all lines of effort of the Women, Peace and Security program, in particular addressing conflict-related sexual violence and the Missing Peace Initiative.
* Assists in developing, editing, and updating program informational items for internal USIP staff members, external guests, and web content (e.g., fact sheets, web project pages, presentations, etc.).
* Assists with program-related research and writing as needed.
* Supports Program Officer in responding to technical assistance requests from field offices and headquarters colleagues.
* Assists with gender-related Global Campus course content updates, content development and other related tasks.
* Assists with the U.S. Civil Society Working Group on Women, Peace and Security, providing necessary support.
* Updates internal databases and supports programmatic reporting and other tasks.

Event Development and Planning:
* Assists in the coordination of all events and related external communications for the team, including for public events, private roundtables and consultations, and internal exchanges.
* Assists with drafting event announcement texts, agendas, panelist bios, etc. and develops promotional and informative descriptions of events for internal USIP staff members and external audiences.
* Coordinates all logistical arrangements for program events, including reserving rooms or conference venues, developing invitations, monitoring RSVPs, ordering food and supplies, arranging room set-up and liaising and serving as the main point of contact for attendees. For online events, coordinates Zoom or other teleconferencing means with the USIP AV Team.

Procurement, Finance, Budget, and Travel Support:
* Assists program staff with budget and contract management support, including requisitions, invoice and expense processing, cash requests, and payment monitoring of contract services.
* Assists with travel arrangements and coordination for domestic and international travel.
* Processes travel authorizations, advances, cash requests, travel vouchers, and expense reimbursements.
* Assists the Program Officer with budget reports and tracking for the program.

Performs other duties as assigned.

QUALIFICATIONS
* Bachelor’s degree with at least one (1) year of work experience in women, peace and security, peacebuilding, international relations or other related field or equivalent experience required. Master’s degree with a gender-related focus preferred.
* One (1) or more years of international programming experience related to gender strongly preferred.
* One (1) or more years related to business or administrative experience, and familiarity with general personnel practices, financial procedures and coordination of major office activities required.
* Experience organizing meetings, roundtables, public events, and conferences and making domestic and international travel arrangements.
* Interest and knowledge of women, peace and security, global and U.S. gender-related policies, conflict-related sexual and gender-based violence, and expertise in a geographic region strongly preferred.
* Must have excellent oral and written communication skills in English, including editing and note-taking skills.
* Strong skills in Microsoft Office Suite, particularly MS Word, MS Outlook, and MS Excel. Previous experience with Salesforce and strong computer skills in database usage is preferred.
* Excellent time management skills with the ability to prioritize work and meet deadlines.
* Demonstrated attention to detail and ability to follow protocols.
* Demonstrated ability to develop effective working relationships and strong interpersonal skills, including cross-cultural communication.
