Program Assistant – Impact Private Sector Partnerships Program (Graduate role, Canberra)

Project Overview and Role:

The Impact Private Sector Partnerships (IPSP) program is implemented by Palladium in partnership with DFAT with the overall Goal of: More low-income consumers, suppliers and workers, are benefiting from inclusive, low carbon and commercially sustainable business practices and markets in the Asia Pacific region.

The IPSP has two components to achieve this:
A Business Engagement Support Unit (BESU) – to support DFAT staff to engage more effectively with the private sector by undertaking analysis and providing technical advice on private sector issues to inform the design and implementation of private sector programs. The BESU provides a Help Desk service for DFAT teams to access a range of services, including tra ining, consulting, and advice on a range of topics relevant to private sector engagement. The BESU also collates information and learning from the BPP and other DFAT-private sector partnerships about what works and what doesn’t in partnering with the private sector and uses that learning to shape future programming. The Support Unit further assists DFAT and its partners’ to keep abreast of international best practice on private sector engagement for development; and build and communicate the business case for public-private partnerships for development

Business Partnerships Platform (BPP) – BPP partnerships between the Australian government and businesses aim to develop commercially viable business models that also deliver social and environmental benefits. This includes promoting gender and social inclusion outcomes and maximising benefits for people living with disabilities and other marginalised groups. The BPP portfolio currently encompasses over 8 countries in the Pacific and Southeast Asia, where partners operate in a range of sectors including agriculture, climate change and renewable energy, financial services, health, education, housing, tourism and transport. Primary Duties and Responsibilities:

The Program Assistant will provide administrative, financial, logistics and research support to the program as a whole and its two components. This will include written inputs for progress reporting and learning materials.

Responsibilities include the following:

  • Support the Team Leader, Deputy Team leader and program management team with general administrative tasks.
  • Assist with financial management of the program, including tracking and processing of payments, reviewing time sheets and preparation of invoices and financial reports as required.
  • Provide note-taking support to meetings and workshops and produce minutes, action points, and summary reports.
  • Assist with the contracting and monitoring of consultant pool.
  • Supporting the program team with progress reporting, including drafting.
  • Contribute to the program’s written outputs, such as project snapshots and communications.
  • Support team members to conduct background research, and summarise, analyse, and present findings.
  • Provide logistical support to program management team such as coordinating participant attendance, obtaining quotes for procuring goods and services, bookings for travels, meetings and workshops and arranging catering.
  • Support to BPP grants management, administration and record keeping.
  • Other tasks as required.

Selection Criteria:

  • Excellent organisational skills, time management, record keeping and attention to detail
  • Excellent written and analytical skills
  • Good communication and interpersonal skills
  • Ability to make sound judgements and record detailed justification for decision-making (particularly when providing procurement support)
  • Experience in using Microsoft Word, Excel, Powerpoint, Sharepoint
  • Desirable: Experience in providing administration, finance, and logistics support.
  • Desirable: Interest in the international aid and/or business environment in the Asia Pacific
