POSITION SUMMARY

The Program Assistant provides administrative support for various aspects of implementation of the relevant Emergency Assistance Program (EAP) portfolio, including supporting the Program Director and the Deputy Director with administrative tasks. The position also provides logistical support, financial processing assistance, and carries out other assignments as needed for the portfolio and the EAP team. This position requires written authorization from the immediate supervisor before working in excess of 40 hours in a workweek.

PRINCIPAL DUTIES & RESPONSIBILITIES

  • Program Support:
  • Organize EAP-wide and other EAP-related meetings, including developing and keeping track of meeting agendas, meeting minutes, and meeting logistics
  • Maintain EAP’s shared files and documents
  • Maintain EAP’s travel calendar and trip reports
  • Manage contracts and payments to EAP vendors and consultants
  • Support the advancement of EAP initiatives and the strategic plan
  • Provide logistical support to EAP working groups
  • Support EAP Director in researching trainings and learning opportunities for staff
  • Provide research assistance and analysis related to political and social developments in assigned thematic portfolio
  • Support ongoing programmatic work by contributing to the development of additional tools, fact sheets
  • Support for Emergency and Rapid Response Assistance:
  • Provide support for tracking, outreach, receipt, review, vetting, case development, and funding of emergency cases by regional specialists
  • Directly process emergency cases as needed and as assigned, under close supervision by senior program staff
  • External Relations:
  • Develop effective professional relationships with EAP peer organizations and partners, and donors
  • Attend outside meetings and events as requested and prepare notes for team
  • Assist in editing/drafting press releases, articles, and briefing books, as needed
  • Organize events and meetings in DC and abroad related to Freedom House programs
  • Other related duties as assigned

QUALIFICATIONS:

Education:

  • Bachelor’s degree in political science, international relations, sociology, anthropology, or other social science or related field. Years of applicable experience as a Program or Administrative Assistant may be substituted for the education requirement on a 1:1 basis.

Experience:

  • 1-3 years of relevant professional experience; some living and/or working experience outside of the U.S. is preferred

Technical Skills and Abilities:

  • Strong ability to communicate effectively in English, both verbally and in writing
  • Proficiency is a second language, such as Arabic, Spanish, French, Russian, Portuguese, Mandarin is a plus
  • Mastery of MS Office Suite, specifically Word, Excel, PowerPoint, and Outlook
  • Ability to apply accurate and strong database and records management skills
  • Ability to master digital security tools and use them consistently and with good judgment
  • Strong ability to independently plan, organize, prioritize work, and multitask to meet tight deadlines
  • Ability to apply superb attention to detail and consistently produce timely and error-free work
  • Ability to maintain the highest degree of confidentiality and exhibit unquestionable integrity, honesty, and forthrightness regarding all aspects of work at all times
  • Strong interpersonal skills and the ability to respond promptly to inquiries in a courteous and professional manner.
  • Ability to successfully work collaboratively as an effective team member and with all levels of employees, management, external partners, and funders.

ADDITIONAL INFORMATION

  • Salaries are commensurate with experience and based on pay grades that prioritize equity across the organization. Salary range for this role is $46,000 to $48,000 annualized, dependent upon experience.
  • Candidates must possess authorization to work in the United States independent from Freedom House sponsorship

WORKING CONDITIONS:

General Working Conditions:

  • General working office environment or telework
  • May require long hours including evenings and weekends to complete tasks or attend events
  • Travel within Washington, D.C.; occasional travel outside of the U.S. may be required (less than 20% of time)
  • Exposed to outside weather conditions when required to attend event venues or travel

Essential functions are typically performed in an office setting or remote work. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Sedentary, regularly required to sit for extended periods of time; constantly talk, hear and understand speech at normal levels using a telephone. Occasionally required to stand, walk, and bend over, reach overhead, use hands, wrists and fingers, to grasp, push, pull, move, handle, feel, and type. Constantly required to use close vision and distance vision for regular computer work. Occasionally required to lift and/or move up to 25 lbs. to waist height.
