Description

Objective:

The administration assistant will provide administrative support to the Physical Rehabilitation programme (PRP). He/she will help to ensure the smooth running of the programme by liaising with all PRP teams, other ICRC departments and external interlocutors. Some travel may be required to support the PRP projects.                                                                                                                                                          

Main duties and responsibilities:

 

  • Data collection and database management;
  • Produces statistics and updates data using PRP Systems;
  • Keeps files up-to-date and ensures that records are managed properly;
  • Applies information-management instructions in PRP and ensures compliance with procedures;
  • Drafts, translates and finalizes correspondence, internal presentations, meeting minutes and other documents; shares information among users; proofreading and corrections;
  • Ensures invoices and logistics processes are implemented and followed up on;
  • preparatory arrangement for meetings and workshops by organising participant travel arrangements with relevant departments, setting up rooms and materials, presentations and video conferences;
  • Carries out secretarial tasks such as making photocopies, destroying documents, archiving files and managing stationary stocks;
  • Understands the ICRC physical rehabilitation program objectives and is able to communicate them to interlocutors and beneficiaries;
  • Responsible for the assistive device project with the Iraqi Red Crescent Society IRCS (attending meetings, writing minutes of meetings, following up on statistics, making the required communication to implement the project in the fullest);
  • Responsible for the PRP logistic maters coordinates with the logistic team for PRP annual order, quarterly distribution plan, donation certificates, etc;
  • Follow-up with Human Study and EPU P&O training programme and process semesters payment based on contractual agreement;
  • Responsible for CDP – Collaborative Demand Planning (collecting the sites demand, unify it, share and discuss with Log) and continuous follow up;
  • Responsible of DTP (Distribution Tracking program), following Manila comments and provide feedback in order to correct any mistakes.

Qualifications & Preferred Skills

 

Education and Professional Experience required:

  • University degree or equivalent
  • Minimum 2 years’ experience in secretarial / administration position
  • Computer skills including Microsoft suite – Word, Excel, PowerPoint, Outlook. Database management an asset.
  • Excellent knowledge of written and spoken Arabic and English.
  • Awareness of the disability sector an asset.
