Due to the growth in health programming and, consequently, the large volume of pharmaceutical products to manage (multi-site and multi-donor), Concern South Sudan wishes to pilot a pharmaceutical stock management software (namely Saga Stock from EPI Concept) and deploy it in the two Concern operational bases in NBeG and Unity States. This is a pilot initiative that is currently being implemented in Chad.

Concern South Sudan’s adoption of Saga Stock will enable efficient, quality management of pharmaceutical products, guaranteeing traceability of stock movements (in and out), reliable AMC, appropriate management of expired products, proactive monitoring of pre-stock-out situations, and comprehensive reporting.

This will also facilitate forecasting (including budgeting) and preparation of international orders and strategic decision-making at country level. With this in mind, Concern South Sudan is seeking for an external and short-term support.

A. Preparation:

  • Develop the initial Saga Stock database for South Sudan;
  • Facilitate the set-up of the software and initial database (including the import of standard lists with Concern codification, the import of inventories and the distribution to the various end-user units);

B. Training (either online or in-country) for Concern South Sudan team (08 people) about the different Saga Stock modules, including:

  • Management of the database with different products: oral medicines, injectable, external use, medical consumables, nutritional products, kits, etc.
  • Development of the Pharmaceutical supply system
  • Set up of standard pharmacy and end-user units;
  • Management/analysis of stocks and monitoring of movements
  • Disaggregation and management of stocks by donor;
  • Analysis of expiry dates to help manage out-of-date products, anticipate orders and limit out-of-date quantities;
  • Monthly consumption monitoring and stock analysis;
  • Reporting (i.e. monitoring tables, consumption forecasts based on AMC, etc.).
  • In-depth analyses: use of “statistics” mode, Excel pivot tables, simple corrections and checks.

C. Follow up and coaching

  • Provide a monthly post-training session over a 3-month period to review and analyse Saga Stock data for the monthly reporting.

The Pharmacist Consultant will be responsible for delivering the following:

  • Training Modules: Design of training modules and materials that are adapted and aligned to the training objectives, covering both theoretical and practical aspects of Saga Stock software. The training modules will be presented to the Concern South Sudan technical team (Pharmacist; Health Technical Coordinator) and to the Health Advisor before the training is given;
  • Training: Delivery of the online training to the Concern South Sudan team, ensuring that participants acquire the necessary skills to use the Saga Stock software effectively
  • Report: Production and submission of a short-training report.

All deliverables should be in English.
