Rate £150 per day through umbrella

Hours Monday to Friday

Job Overview You will provide support for Head of IT Portfolio Delivery & Head of Digital Engineering – EU Cluster including setting-up regular and ad-hoc meetings. You will also be responsible for Scheduling and rescheduling diaries for E bands where meetings move on an ongoing basis. You will also Manage efficient travel arrangements where supplier/offsite meetings are required

Key responsibilities

  • Key accountabilities and decision ownership:
  • Evaluate all enquiries and deal with them directly or refer/escalate as necessary. Track all issues through to resolution. Pro-actively monitor and report trends.
  • Manage diary and commitments to effectively prioritise the allocation of meeting time
  • Use judgement to determine whether meeting requests are accepted. Ensure the purpose and required outcome of the meeting is recorded and any agenda, required documentation or pre-reading material is prepared / received in a timely manner prior to the meeting
  • Support Function and Leaders to enable Digital Leadership.
  • Ensure required information and documentation is available prior to all meetings. Assemble meeting packs if required.
  • Draft power point presentations using existing knowledge and researching new material if necessary
  • Facilitate the production of presentation materials for Internal and External conferences. Agree date and time of presentation, link conference organisers with the Vodafone contact to agree content of presentation.
  • Work closely with other PA’s, sharing best practice, pro-actively seeking opportunities for consistency in secretarial support or the introduction of new initiatives. Ensure adequate secretarial cover is maintained

Experience Needed

  • Proven experience of supporting at exec level
  • Highly proficient secretarial skills including MS office with an emphasis on Powerpoint
  • Good analytical skills
  • Strong organisation skills with an ability to constantly re prioritise
  • Confident and engaging communication and influencing skills with an ability to push back when required
  • A flair for concise and relevant report/ brief generation
  • Builds effective relationships and breaks down barriers
  • Calm when dealing with challenging situations
