We have an exciting new opportunity for an experience Personal Assistant to join our fast-growing manufacturing company Suflex, a component distribution business.

Personal Assistant

You will be the PA for the Senior Directors and should be comfortable with a mixture of personal and professional work. You will be given arbitrary briefs and need to identify your own solutions to the problems presented and/or propose a solution ahead of execution. Your role may involve preparing and delivering reports, collating, or editing presentations and arranging travel, events and booking etc. when permitted.

The ideal candidate will be expected to work on a flexible schedule and, sometimes, during unsociable hours to support the varied needs of the Senior Directors. The team work long days to accommodate multiple time zones and, especially during this period of expansion, are looking for someone they can rely on to complete a diverse range of tasks.

The role involves a high level of responsibility, confidentiality and resilience. We are also looking for excellent IT skills, a high level of calmness under pressure, the ability to work on your own initiative, excellent interpersonal & communication skills and the ability to ensure tasks are completed on time to a very high standard.

Responsibilities

  • Diary management & administration ensuring effective time management and efficiency prioritizing key tasks
  • Management of travel arrangements and supporting documentation as required
  • Attend team meetings as required, noting and following through on all actions until complete
  • Flagging up of upcoming key meetings and priorities including supporting paperwork, deadlines etc to ensure preparation can be completed on time by leader
  • Represent the company to externals when required in a professional, courteous and knowledgeable fashion, either face to face, through written communication or by phone.
  • Data analysis and reporting
  • Conduct research and analysis on a variety of subjects as directed
  • Processing contractual agreements
  • Assisting with errands for the Senior Directors

Preferred Skills & Experience

  • Pre-existing experience is a must
  • You must demonstrate the ability to organise yourself and ensure the Senior Directors are kept well informed on progress
  • Experience of business administration including preparing contractual agreements
  • Ability to determine work priorities and ensure deliverables are completed to specification, within budget and on time
  • Strong documentation and written and oral communication skills
