We are looking for an experienced administrator to provide temporary cover for 6-8 weeks. The purpose of this role is to provide support to the Humanitarian Leadership Academy’s (HLA’s) Operations Lead in the completion of a variety daily administrative tasks, often finance focussed.

The ideal candidate will have experience in a fast-paced team setting responding to multiple requests often required within quick turnaround times (e.g. less than one day). Accordingly, you must be able to manage a high number of competing priorities for time critical operations activities.

Key accountabilities

Financial Management

  • Claim and record income on Save the Children UK’s (SCUK’s) Finance system and on HLA’s Excel tracker.
  • Process requisitions and purchase orders on SCUK’s Finance system.
  • Raise sundry invoices on SCUK’s Finance system.
  • Process cost transaction recode requests
  • Process new suppliers’ forms
  • Manage and store documentation contracts / awards / finance information on HLA’s SharePoint system

Contract and Award Management

  • Update and maintain HLA’s Award Management System (AMS) records
  • Support the Operations Lead in managing donor contracting, and donor signatures & HLA countersignatures via DocuSign
  • Support the Operations Lead to manage HLA’s trading company contracting activities, including requesting information and supporting documentation from external partners.
  • Request Due Diligence compliance checks from SCUK’s Legal department.
  • Support completion of vendor procurement activities and tasks.

Essential Criteria:

  • Highly computer literate, with an ability to quickly learn new systems.
  • High level of proficiency with Microsoft Office applications (e.g. Outlook, Teams, SharePoint, Word).
  • Intermediate level proficiency with Microsoft Excel (i.e. the candidate will be confident in creating and updating Excel tables, including using Excel formulas).
  • Numerate with the ability to monitor and manage financial information.
  • Analytical skills with the ability to identify key points from complex material or information.
  • Proven attention for detail and ability to effectively manage a high volume of data and
  • information
  • A high degree of flexibility and adaptability to respond to changing needs and priorities
  • Excellent organisation and administration skills with the ability to plan and prioritise work.
  • Strong interpersonal and communication skills (verbal and written), with an ability to work with people from a range of backgrounds and cultures
  • Strong team skills, with the ability to develop and maintain effective working relationships
  • and collaborate both within and outside the team.
  • Strong problem-solving skills, with ability to propose solutions for translating a variety of funding information into Save the Children system formats

Ways of Working:

Remote First – The majority of our roles can be performed remotely, however you may work from the office as often as you wish. Whilst you will be predominantly working from home, we may require you to come to your contracted office up to 2-4 days per month or 6-8 days per quarter (Note: This will be agreed with your Line Manager and team) This is intended to be time spent on collaborating with colleagues and relationship building.

On-site – There are certain roles that cannot be performed remotely and so your role will be based in an office location and you may occasionally be able to work from home.
