The Opportunity

Operations Manager

NetHope is seeking and experienced, organized, and enthusiastic professional to support a work environment that supports the organization culture and values. The Manager supports operations across the organization and engages with team members at all levels. The Manager will provide a high-level of customer service to internal and external stakeholders.

The Manager must be adept at working in a team environment. They will build and bridge communications in a virtual environment. They need to be successful in maintaining processes and workflows. They will support the work of the finance and operations team to ensure that all deliverables are efficiently completed at a high standard of quality, and in full compliance with NetHope and donor policies. They will be skilled at organization and have a strong eye for detail. The Manager provides a layer of consistency and professional cohesion for NetHope operations.

Specific responsibilities include:

Team Member Onboarding and Retention

  • Support the team in the development of job descriptions that reflect the skills and competencies required for the position and that clearly articulate the work culture.
  • Manage the team acquisition process including recruitment, screening, interviewing, hiring, and onboarding.
  • Conducts background checks and employee eligibility verifications.
  • Manage the onboarding process for full-time, part-time, and contractor team members in Asana
  • Engage with team members and serve as a resource for the team around human resources related priorities
  • Manage performance review program and KPI development process
  • Maintain and improve the onboarding manual so it is comprehensive and current at all times
  • Manage internal staff meetings, NetHope University, and other training schedules
  • Identifies learning and development programs and initiatives that provide internal development opportunities for employees.
  • Manage the professional development requests process

Compliance

  • Facilitates the annual review process of policies and procedures and creates a structure for easy access by team members
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Assists the Finance Manager with grant compliance

Payroll and Benefits Administration

  • Maintains employee records within the PEO system and internal personnel files
  • Serves as a resource for team members regarding PTO, holidays, and other benefits

Contract Management

  • Manages the contracts process and ensures attention to detail and accuracy.
  • Drafts contracts using existing templates
  • Maintains a tracking system for all active contracts
  • Initiates renewal actions on current contracts, memorandum of understanding or licensing agreements.

General Operations

  • Serves as the primary point of contact for team travel arrangements, visa requirements, and liaison with external travel agency.
  • Engage with other Managers to ensure the flow of information, open communication, teamwork, and efficiencies across the entire organization team
  • Maintain insurance policies and track renewals to ensure no lapse of coverage
  • Maintain operations team filing system, organization wide filing system in Box
  • Support the team on additional assigned projects/tasks

  • Experience developing process and procedures with input from team members
  • Demonstrated ease of working across functional areas and with stakeholders at all levels of the organization
  • Multilingual verbal and written communication skills a plus
  • Benefits review and administration

Education and Experience

  • Minimum 3 experience in a global nonprofit environment
  • Bachelor’s degree from an accredited institution preferred or equivalent work experience
  • Experience working with PEOs a plus
  • Experience using project management platforms such as Asana to managed processes
  • Experience with NetHope platforms a plus–Salesforce, Asana, Slack, Miro, Zoom and Microsoft Office extensively
  • NetHope Member experience highly valued, other NGO experience a plus

Reporting and Working Conditions:

  • This position is a full-time position that reports to the Chief Administrative Officer and works closely with the entire team.
  • NetHope is a virtual organization, so our team, our Members, and our Partners are located around the world. Due to the global nature of the organization, meetings may be required at any time of the day to meet with our stakeholders in varying time zones. To meet these needs, NetHope embraces flexible schedules for team members, and we work with each other to be located globally, but still maintain a reasonable work time balance.
