General information

The Operations/Logistics Assistant works under the direct management of the Operations Coordinator (OC.) His/her duties are to support the OС on day-to-day activities which include but are not limited to procurement, driving, premises, warehouse and asset management, support to departments, etc.

The key responsibilities

  • Provide support to the Operations Coordinator on all administrative, personnel, and financial activities required for the project, ensuring that appropriate control reporting structures are maintained by the organization’s rules and regulations.
  • Implement the asset inventory process, including procurement and reporting in established forms to iMMAP.
  • Conduct day-to-day procurement process for in-country head office. Organize the delivery, storage, and registration of all inventory.
  • Handle incoming and outgoing shipments of various goods and equipment.
  • Take responsibility for warehouse management of all inventory in the organization. Take driving responsibilities when required to support particular project goals—Organise vehicle maintenance and procurement of spare parts and services.
  • Provide logistic support for iMMAP activities supporting National Mine Action Offices.
  • Prepare all financial reports by scanning all receipts and liaising with the finance department.
  • Manage the building maintenance and provide monthly utility bills to finance.
  • Undertake other duties as requested by the line manager.

Requirements

Please note that this is a national position in Ukraine. Only citizens of Ukraine are allowed.

Education

  • University or Institute degree in business administration, finance, or a relevant field.
  • Valid driving license category B or higher with a minimum of 1 year of driving experience.
  • Native Ukrainian speaker with a good level of English language skills.

Experience

  • With at least 1 year of work experience in the Administration or Logistics field.

Personal skills

  • Flexible and adaptable to any situation.
  • Ability to work independently while under pressure and during long hours.
  • Excellent work habits with a willingness to work in a multicultural environment.
  • Excellent organizational skills, including proven ability in administration and logistics.
  • Attention to detail and adherence to safe driving rules and regulations.

Programs

  • Good computer skills in Windows and Microsoft Excel applications with high skills in Outlook and Excel.
