The Ops and HR Assistant will provide administrative support and facilitate the human resources and operational processes at the service center locations and administrative offices in Texas.

Reports to: Director of Operations

Essential Functions:

Operations

  • Provide day-to-day operational support for all RST programs and local offices as assigned by the Director of Operations.
  • Assists in the management of vendor relations, maintains a vendor contact list, and coordinates vendor activities as requested
  • Assists in the implementation and improvement of the agencys operational systems, processes, and procedures including materials management and inventory.
  • Coordinates operational activities with all departments, local offices and staff, and other stakeholders.

Human Resources

  • Assists in planning, organizing and implementing new hire activities, orientation and training of new employees
  • Performs administrative duties, such as new employee background checks, drug screen requests, benefits enrollment and reconciliation of monthly benefits statements, and contractor agreements
  • Assists in timekeeping and payroll activities for all employees
  • Provides excellent customer services to all employees by answering employees requests and questions in a timely, respectful manner
  • Provides maintenance of employee files, both paper and electronic
  • Assists with various research projects and/or special projects related to human resources management
  • Other duties as assigned.

Qualifications:

Education

  • Bachelors Degree required; preference will be given to candidates with related experience in human resources, non-profit management or business administration
  • HR certification and/or project management experience helpful

Knowledge/Skills

  • High English language proficiency, excellent communication (both verbal and written) and interpersonal skills required; presentation skills required
  • Experience working with diverse populations and refugee social service programs preferred.
  • Computer proficient including Microsoft Office applications (Word, Excel and Outlook) required; familiarity with HR management and/or other management software helpful
  • Ability to maintain strict confidentiality guidelines
  • Basic knowledge of US employment laws
  • Must be flexible, capable of working independently under pressure with deadlines and managing multiple priorities.

Licenses/Certifications

  • Valid Texas drivers license and minimum mandatory Texas automobile insurance coverage; Must be able to provide own daily transportation; occasional overnight travel required
