We are headquartered in the Hudson Valley, but our roots are in the greater New York metro area—we are open to hiring candidates working remotely, as long as they are willing to travel as needed for critical in-person meetings. The ideal candidate will be based either in New York State or the Boston metro area.

The Role

You will help drive operational excellence by providing support for supply chain, logistics and inventory functions. In this role, you will work closely with the Director of Strategy & Operations to improve inventory management capabilities through accurate and timely maintenance of all systems. You will also help to move product globally, working directly with overseas suppliers and forwarders to coordinate product shipments to our warehouse and production facility. In short, this is a hands-on role with great learning opportunities and exposure to various aspects of the business.

You are extremely detail-oriented and can accurately execute on the minute aspects of a project, while understanding how they impact the bigger picture. No task is too big or too small for you, and you approach any project that comes your way with a problem-solving mindset.

Responsibilities

  • Own item creation and maintenance of entire product catalog in our system of record, TradeGecko (Quickbooks Commerce)
  • Build and maintain Bill of Materials for all manufactured items to ensure careful tracking of the cost of goods sold
  • Create purchase orders with direction from manager, and update accordingly based on any feedback from vendors
  • Ensure all landed costs such as freight and duty are accounted for on purchase orders prior to receipt and that POs are being received systematically in a timely fashion 
  • Support end of month cycle counts and inventory reconciliations by ensuring all system transactions have been closed out, reporting on discrepancies, and entering all approved inventory adjustments
  • Source multiple freight quotes for all inbound and outbound shipments to secure the best rate and delivery timeline
  • Follow up with overseas suppliers to confirm all shipment details and coordinate all logistics with the freight forwarder with strong sense of urgency
  • Create and update inbound PO tracker to ensure cross-functional visibility to arriving shipments
  • Maintain meticulous records on all inbound and outbound shipment details, including BOLs, packing lists, and commercial invoices 
  • Enter all wholesale orders as received and flag to production team  
  • Update and maintain Operating Manual and warehouse SOPs to ensure all current processes are documented

Qualifications

  • B.A. required; 1-3 years of experience in an operational support role, preferably in a startup environment
  • Experience working in WMS and ERP systems, with a strong understanding of inventory management processes. Experience using TradeGecko (Quickbooks Commerce) a plus!
  • High level of comfort in navigating and using basic formulas in Excel and Google Sheets
  • Analytical and problem-solving mindset – you are comfortable using data to help inform decision-making
  • Strong organization skills and attention to detail – you take pride in being able to deliver a high level of accuracy in your work
  • Excellent written and verbal communication skills, with the ability to interface easily with domestic and overseas suppliers 
  • Highly adaptable, with the ability to pivot quickly to changing priorities 
  • Quick learner with a can-do approach – you seek out opportunities to learn and grow and welcome feedback to enrich your development
  • Previous experience working with freight forwarders a plus
