DUTIES AND RESPONSIBILITIES

 

  • Coordination and communication with select offices and directorates within the Government of Iraq for operational and financial documentation.
  • Working with the relevant authorities to submit and complete visa applications,
  • Updating of inventory lists for office materials and tools, assisting in maintaining equipment and making sure of the warehouse.
  • Tracking and creation of subawards, contracts, vendor and consultant agreements, and other contractual and procurement support;
  • Manage program travel and logistical planning for activities in Iraq
  • Processes payment requests and reconcile financial statements, preparation of cash reconciliation and tracking of advances and liquidations with accuracy;
  • Oversee administration of monthly time sheeting for the program(s) field staff, supporting the administration and calculation of payroll, benefits, arears if any income tax and social security.
  • Ensure compliance of procurement and field accounting policies and procedures, including obligations with IREX and donors’ rules and regulations.
  • Maintain the data base and administrative documentation including contracts, financial records, and reports to ensure that all files and data are in accordance with IREX policy.
  • Filling and tracking all program(s) documents.
  • Coordinates with program partners for implementation of program activities as needed;
  • Organizes program events and conducts trainings and site visits;
  • Compiles and tracks a wide range of participant information and program data, maintaining accuracy and completeness.
  • Collaborating with program team to support development and preparation of materials for workshops and events;
  • Assisting with event coordination and providing on-site support during workshops;
  • Communicate with program participants and alumni, tracking program impact data;
  • Provide support in internal and external reporting.
  • Other duties as assigned.

Qualifications & Preferred Skills

 

Position Summary:

The Operations and Finance Officer will be responsible to support IREX-Iraq programs in providing operational, financial, administrative, and logistical support to Iraq Programs in the day-to-day administration of program activities.

Duties include various aspects of finance support including procurement, budgeting and estimation of monthly funds, reviewing invoices, tracking sub awards, and preparing payment documentation.

This position will also support administrative and operational tasks such as event planning, logistical support for program participants, and communicating with partner organizations and/or governmental bodies, visa processing, and additional duties and tasks to meet the needs of the organization, team, or as assigned by supervisors.

 

Background and Skills:

  • University Degree in administration/accountant/business or closely filed is required.

  • Minimum three years of experience of operations, admin and finance roles at senior officer/officer level.

  • Familiar with accountant and HR systems; qb and SAP are preferable.
  • Strong interpersonal and cross-cultural communication skills;

  • Proven organizational skills and ability to manage multiple tasks with a high degree of accuracy and attention to detail, including the ability to prioritize;

  • Demonstrated capability to work independently and as a team member with consistent ability to take initiative, meet deadlines within strict time constraints, and maintain a positive attitude and flexibility;

  • Demonstrated computer skills, including Microsoft Office with highly competent use of Microsoft excel, and other MS applications.

  • Excellent written and spoken English is required;
