The Officer, US Accounting is responsible for accounts payable, payroll, processing deposits, corporate credit card review, and other duties as assigned.

This position primarily supports the US operations, from our Washington DC office.

Engagement

  • Partner with HR to process semi-monthly payroll and benefits, maintaining payroll schedules, ADP timesheet system.
  • Work with IT to make sure the Payroll and financial system integration works properly.
  • Assist the Finance/Account team with the year-end audit preparation and coordination as needed.

Delivery

  • Process accounts payable in accordance with established policies, procedures, and controls. Ensure that all related accounting policies and procedures are followed.
  • Monitor the Accounts Payable e-mail inbox. Review invoices for completeness and appropriate support.
  • Process and code invoices in our Intaact Accounts Payable system.
  • Review check requests, invoices, and other related documentation for completeness (approvals) and compliance with financial policies, procedures, and contractual requirements.
  • Research and call vendors as needed to discuss W-9’s, invoices, etc.
  • Create wire templates, and initiate wires.
  • Ensure accurate and timely review and reconciliation of vendor files for year end 1099 and 1096 filings.
  • Maintain Wells Fargo corporate credit cards, ensuring the employee contracts are on the file, ensuring the spending limit is maintained, and expense reports are filed on time.
  • Reconcile Fixed Assets recorded in Intacct with Fixed Assets in US office and take appropriate action in Intacct for any fixed assets disposed or that become obsolete.
  • Assist with bank and other reconciliations.
  • Upload payroll into Intaact using payroll integration tool, as well as prepare the corresponding journal entries.

  • Provide training to staff on US accounting policies and procedures and tools as needed.

  • Perform special projects as assigned.

Skills and Qualifications

Required

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of 3 years professional accounting experience
  • Highly organized and attentive to detail
  • Familiarity with GAAP and non-profit accounting concepts, practices, and procedures
  • Proficiency in Microsoft Excel spreadsheets and word processing
  • Ability to communicate well with staff, clients, and vendors
  • Self-starter with the ability to work independently and within a team in a fast-paced environment with minimal supervision

Preferred

  • Degree in finance/accounting, ideally in accounting
  • Non-profit accounting

  • Knowledge of Sage Intaact accounting software

Physical Demands:

  • May require bending, lifting, standing, sitting, computer work, etc.
  • While temporary working remotely, requires going to the office a minimum of one day per week to complete specific accounting transactions.
