PURPOSE OF POSITION:

The primary role of the Office Manager is to provide administrative and financial support services to the Aden office. With a technical reporting line to the Corporate Services Department, the Office Manager is integral in ensuring adherence to ARK and donor policies and procedures.

KEY RESPONSIBILITIES:

Office Administration

  • Oversee the registration and set-up of ARK’s Aden office.
  • Lead of local law and compliance enquiries.
  • Source local service providers in legal, insurance and accounting.
  • Oversee office lease agreement and mandatory insurances such as public liability, workmen compensation and fire and perils.
  • Support HR with compliance with local labour law, including acquiring work permits for expats and registering local staff.
  • Manage the efficient functioning of the Aden office by maintaining office services such as water, electricity, AC and internet.
  • Keep track and replenish monthly supplies of expendable materials such as stationery and cleaning materials.
  • Ensure office inventory is up to date and asset disposal procedures are adhered to.

Finance Administration

  • Oversee local bank account applications and managing relationship with local bank(s).
  • Oversee national staff payroll.
  • Check and verify supporting documentation for local financial transactions.
  • Record financial transactions to accounting software.
  • Ensure all project-related transactions entered into the accounting system are accurate and documented correctly.
  • Organise and file all financial records as per ARK filing policy.
  • Safeguard the office cash box and make all cash disbursements, reconciliation and forecasts.
  • Organize local tax and social security declarations in accordance with local legislation.
  • Other administrative & financial duties as needed.

SKILLS, KNOWLEDGE AND EXPERIENCE:

Essential

  • Familiarity with labour law and legislation related to company registration.
  • Experience in dealing with local banks in a commercial setting.
  • 3+ years of hands-on office administration and bookkeeping experience.
  • Knowledge of generally accepted accounting principles
  • Excellent Excel and Word skills.
  • Solid knowledge and understanding of competitive procurement procedures.
  • Attention to detail, able to work independently and under tight deadlines.
  • Effective communicator, active learner and team player.
  • Fluent in both written and spoken English and Arabic.

Desirable

  • Degree in the field of Finance, Business Management or Procurement.
  • A minimum of 3 years of experience in a similar role.
