Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks an enthusiastic, dedicated, and mission-aligned Office Manager to support the A Cut Above Office.

The Office Manager will bring a passion for the mission of the Harlem Children’s Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.

The Office Manager will join our A Cut Above team that provides academic help and leadership development, as well as high school and college preparation. The ideal candidate will provide effective leadership and support all programmatic components in organizational structure development, resource management, and curriculum development.

A Cut Above is an after-school program serving over 130 students in elementary and middle school. Supporting students who are not in the Promise Academy charter schools, our mission is to cultivate a culture of excellence through personal and social development, community service, academic enrichment, and enrichment in STEM and the arts. This will encourage students to exceed expectations and become positive leaders throughout high school and

beyond. Students participate in weekly activities around subjects such as character building, lifetime decision-making, identifying values, communication and critical thinking, social etiquette, conflict resolution, and community service,

among others.

Minimum Qualifications

Associate or bachelor’s degree with at least 2 years of experience providing office support, ideally in a school-based setting

Who You Are

  • A dedication and commitment to the mission of HCZ
  • Knowledge of Google Suite, HR software, and/or accounting software is preferred
  • Strong work ethic with impeccable attention to detail
  • Excellent written and verbal communication skills
  • Must be comfortable working independently and as part of a broader team
  • Ability to handle confidential and sensitive information
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)

What You’ll Do

  • Support the ACA team to ensure compliance with all state, federal, and local employment laws and policies
  • Serve as the primary liaison for departments throughout the organization; support HR with hiring process
  • Provide calendar management support for Program Director, coordinate meetings and special events calendar;
  • Perform general administrative duties including, but not limited to: preparing letters and documents,

photocopying, faxing, mailing, filing, and ordering supplies;

  • Answer busy phone system, take messages, and transfer information to the appropriate parties
  • Receive, sort, and disseminate mail and deliveries
  • Strategically manage office calendar to maximize efficiency, based on initiatives and priorities
  • Manage employee timekeeping system; remain aware of staff movement in and out of the office
  • Manage monthly supply order process from internal requests to procurement fulfillment
  • Maintain office space including inventory (i.e., supplies and equipment) and deliveries
  • Ensure the site area is always clean and presentable; collaborate with the Facility Department to maintain aesthetic

appearance of office space

  • Perform other duties and projects as assigned

  • Monday through Friday
