How you’ll have an impact at Paula’s Choice*: 

We are looking for an energetic, self-motivated, hyper-organized Office & HR Assistant to join our team. This role will provide all general clerical and administrative duties for Paula’s Choice Seattle headquarters including reception, administration, and departmental assistant as needed.

This role will require someone with truly exceptional organization skills, absolute attention to detail, a very strong solutions-based mentality, and a passion for supporting others. The most successful candidate will be the one that goes the extra mile, prides themselves on their customer service and wants to jump in where needed

What a typical day may look like:

  • Provide comprehensive support by completing a broad variety of tasks for the office ensuring professional, responsive, and effective experience.
  • Work directly with all employees, outside vendors, building management, architects, interior designers, general contractors for all office projects and issues.
  • Assist with data management, filing, and general employment inquiries. Serves as the backup to the Executive Assistant to the CEO.
  • Plan and organize projects efficiently, setting appropriate action steps and time frames, deliver results promised.
  • Arrange complex domestic and international travel logistics, trip preparation and expense reporting; support all-office meetings including space and food.
  • Other responsibilities as assigned by your manager (mandatory for legal purposes)

The details:

  • Status: Please note this role is temp-to-hire 
  • Location: Seattle, WA Headquarters (will need to be in office 80% of time)
  • Hours: Typical business hours, will require some flexibility
  • Physical requirements: Ability to handle long periods of both screen time & sitting
  • Travel requirements: Up to 10% local travel

What you’ll bring to the table*

  • 1-2 years of office management/admin experience or equivalent education/experience considered
  • Working in a fast-paced office environment, experience working in a human resources department
  • Proven project management skills
  • Excellent written, verbal and oral communication skills
  • Ability to prioritize, multitask, and negotiate
  • Ability to exercise good judgment in a variety of situations and maintain a realistic balance among multiple priorities
  • Ability to collaborate with peers and leaders across all departments
  • Strong knowledge of Microsoft Office suite, including Outlook and Excel and MS Teams
  • Understanding of Human Resource policies and laws
