The Pacific Community (SPC) invites applications for the position of Office Assistant – Messengerwithin its Micronesia Regional Office (MRO). This position will be located at its regional office in Pohnpei, Micronesia.

Description

The Pacific Community (SPC) is the principal scientific and technical organisation in the Pacific region, supporting development since 1947. The Micronesia Regional Office (MRO) situated in Kolonia, Pohnpei, Federated States of Micronesia (FSM), is the main hub for SPC’s projects and partnerships with the Micronesian members of the Federated States of Micronesia, the Republic of the Marshall Islands (RMI), the Republic of Palau, and the United States territories of the Northern Mariana Islands (CNMI), and Guam. The MRO opened in January 2006.

The role – the Office Assistant – Messenger will provide administrative and messenger support services to the Micronesia Regional Office and all divisions and projects working through the MRO as requested.

The key responsibilities of the role include the following:

Provide support for office reception

  • Greeting clients and visitors
  • Receiving calls and delivering messages

Provide support for general office administration

  • Monitor inventory of office supplies
  • Updating and sorting all official files, documents, and publications
  • Support to help ensure the overall office maintenance, cleaning and efficient use of office and project resources

Provide support for messenger duties

  • Pickup and delivery of mail, official documents
  • Support to bank runs
  • Step in as driver for MRO
  • Assist with processing customs clearance
  • Collect vendor quotations and invoices

Provide support for official meetings and workshops

  • Ensure proper set up of meetings, conferences, and official functions
  • Provide logistics support for the delivery of meetings, conferences, and official functions

Provide support for vehicle fleet management

  • Ensure vehicles are cleaned and well maintained, vehicles undergo regular tune-ups, are properly registered, cleaned and fuelled

Key selection criteria

Qualifications

  • Certificate in Administration or Business Administration

Technical expertise

  • At least 2 years’ experience in providing administrative assistance, office assistance or messenger, driver service
  • Sound knowledge of MS Word, Excel and Windows computing environment
  • Familiar or have working experience dealing with vendors
  • Valid driver’s license

Language skills

  • Written and oral communication skills
  • Proficiency in English

Interpersonal skills and cultural awareness

  • A proactive and positive team player able to work effectively in a multicultural environment
  • Knowledge of Pacific Island countries and territories is an advantage

Salary, terms and conditions

Contract Duration – This position is budgeted for 1 year.

Remuneration – the Office Assistant – Messenger is a Band 2 position in SPC’s 2022 salary scale, with a starting taxable salary range of USD 1,193 –1,491 per month, plus local staff benefits. An offer of appointment for an initial contract will be made in the lower half of this range, with due consideration being given to experience and qualifications. Progression within the salary scale will be based on annual performance reviews.

Benefits – SPC provides medical and life insurance for eligible employees and their eligible dependents. Employees are entitled to 25 days of annual leave. Provident Fund and/or Social Security will be according to FSM’s local legislation.

Languages – SPC’s working languages are English and French.
