Job Description

  • Offering a warm and friendly welcome and tend to the arrival of all external visitors. Ensure they sign in on Envoy and look after them until they are collected.
  • Responsible for processing new starters ID passes; take photo, create ID passes, update profiles on Workday
  • Travel administration; book London hotels for global Kindred employees
  • Booking taxis for Kindred staff
  • Raising PO’s and creating new suppliers on FocalPoint for OM and FM Team.
  • Booking and preparing courier parcels for domestic and International shipment.
  • Ad hoc assistance for FM Team and Kindred United as needed
  • Managing stationery stock: auditing, ordering and putting out stationery on all floors on a bi monthly basis
  • Managing loan and return of wireless keyboard and mouse to staff
  • Negotiating contracts with regular suppliers and pro-actively looking for better deals
  • Collate travel data (flights/taxis) for Carbon Footprint reporting
  • Create and post monthly Newsletter on Jive
  • Working alongside OM to brainstorm FM incentives, events, fundraisers
  • Management of weekly Spin the Wheel competition
  • Management of motorbike and moped parking bookings
  • Assisting staff with meeting room bookings and hospitality
  • Conduct daily checks of Reception area to ensure professional, clean appearance
  • Assisting the Hard Services Manager with administrative duties, booking call outs and maintaining service contracts for external workers
  • Regularly check incoming OM-Jiras and assign accordingly within the team
  • Frank all outgoing post and help distribute incoming post
  • Be an active fire warden and first aider – training provided
  • Co-manage company mobiles: order phones for new starters and upgrades, distribution, end user agreements, subscriptions, asset management registry etc.
  • Work closely with other Office Assistant and Office Manager
  • Monthly reporting on Symmetry: removal of leavers and update and manage lists to ensure no miss-use of ID passes or odd behaviour.
  • Annual management of sending out of annual reports
  • Audit and refill First Aid kits on all floors bi-annually
