Contract: Permanent full-time

We are looking for an Office Administrator to join our team in Berlin. As a key member of the team you will provide administrative support to the Site Leadership Team and commercial teams in order to ensure the smooth running of the office on a day-to-day basis.

Responsibilities will include but are not limited to:

  • You act as a communicative interface and contact point: You take care of the reception of external visitors, our switchboard as well all orders, coordination of office supplies and acceptance of deliveries, with the goal of a smooth workflow
  • As the heart of the office, you will take care of our ordering and ensure that there are always enough office supplies, food, beverages, and other amenities by selecting and contracting with the best vendors
  • You will be responsible for the cleanliness, orderliness and safety of the office, which is why you are happy to support the hiring of cleaning and safety service providers
  • You will support the team with your organisational skills at Hologic marketing events and take over the event management of retreats, offsites, Christmas parties and sporting events
  • Sales and Customer Support – answer requests regarding Fotos, DSGVO and other user releases
  • Setting up suppliers and raising POs in our ERP system
  • CAF management – from creating to filing

What you’ll bring to the role:

  • Proven office management, administrative or assistant experience
  • Strong organisational skills, excellent time management and ability to multi-task and prioritise work
  • Excellent written and verbal communication skills
  • Proficient in MS Office specifically PowerPoint and excel, experience with an ERP is a benefit
  • Energetic professional who doesn’t mind wearing multiple hats
  • Able to work independently and be proactive in tasks
  • Fluent in English & German
