As the Northeast Division Administrative Assistant, you will report to the Division President (DP) and Assistant Division President (ADP) to provide day-to-day, front-line administrative support. The DAA supports Division functions including coordinating the DP’s office with the offices, project management, meeting and event planning, travel arrangements, and organizing the DP and ADP offices.

The Successful Candidate Will possess the following abilities and will be responsible for:

  • Maintain DP and ADP calendars; schedule meetings, events and interviews as needed, exercising considerable judgment and discretion in handling requests for appointments and calls, routing them to others as necessary
  • Act as an extension of DP and ADP by sending emails, answering questions and responding to general requests both internally and externally
  • Coordinate frequent business travel arrangements
  • Work closely with Regional Administrative Assistants on division initiatives—such as collections to reduce bad debt
  • Organize and prioritize large volumes of information using discretion and judgment when to involve others in the decision-making process
  • Process and audit division accounts payable
  • Monitor investigations and requirements of regulatory agencies
  • Maintain personnel files, log and review new-hire packages, employee profiles and other personnel documents for accuracy
  • Respond to customer inquiries, resolve complaints with care and maintain documentation in the division customer service log
  • Plan and execute logistics for meetings including coordinating travel, on-site arrangements, meeting agendas, production and distribution of meeting materials
  • Organize and manage pending and recurring tasks and projects
