Background

RESPONSIBILITIES

GENERAL

  • HR
  • Assist in the profiling, identification, and selection of appropriate candidates for local recruitment.
  • Oversee the preparation of contracts for the new national staff that are hired in Ukraine.
  • Tracking employees leave and vacations.
  • Insurance liaison: act as insurance liaison and follow up with the insurance company
  • Train and mentor local staff in HR Management
  • Liaise with HR HQ

REPRESENTATION

Maintain effective and positive internal communication with iMMAP Ukraine office team members to be in line with the policies and procedures and exchange knowledge.

SECURITY

Follow security protocols, as laid down by the iMMAP Global Security Advisor.

REPORTING LINES

The HR Officer works under the direct supervision of the Project Manager with an overall supervision of Global Human Resources Director.

Description of Duties

Support iMMAP’s HR rules and procedures in Ukraine

  • Ensure the application of iMMAP Recruitment policy and procedures at Ukraine office level.
  • Support recruiting managers in the definition of their HR needs and ensure clear ToRs are written for each position.
  • Support recruiting managers in the planning of their recruitments assigning deadline and responsibilities throughout the process.
  • Participate in all interviews for candidates for national position.
  • Ensure interview protocol are respected and interview sheets are filled.
  • Provide recommendation on candidates to the hiring manager.
  • Prepare the job offers, contracts and other HR related documents.
  • Ensure ALL recruitments folders are complete and compliant with iMMAP and relevant donors’ policies.
  • Ensure relevant internal HR policies and regulations are signed and understood by all personnel.
  • Ensure staff are trained on the performance evaluation process and managers conducts regular appraisals for the staff under their supervision.
  • Handle HR questions, clarification of policies, interpreting and administering contracts and helping solve work-related problems
  • Ensure employee’s contract follow up to anticipate contract renewal and/or contract closure are properly planed.
  • Participate upon request, in the settlement of disputes or issues related to personnel management in collaboration with the Country Director.
  • Follow the registration, modifications, cancellation of employees and dependence of Health insurance with the insurance company
  • Follow and cooperate with the health insurance company about the medical claims.
  • Inform Country Director and HQ HR regarding any observed breach of regulations that could lead to award or disciplinary actions as per iMMAP policies.
  • Attend monthly meeting with HQ HR.

Requirements

  • Education
  • University an Institute degree in business administration, finance or relevant field
  • Experience
  • With at least 5 years or work experience in Administration field.
  • Familiarity with daily staff management task in a multi-cultural environment.
  • Demonstrable skills implementing HR policies and procedures in compliance with HQ and donor regulations.
  • Excellent command of Office suite applications (Word, Excel, PowerPoint);
  • Excellent inter-personal and general communication skills;
  • Very good English, both spoken and written.

  • Flexible and adaptable to any situation.
  • Ability to work independently while under pressure and during long hours.
  • Excellent work habits with a willingness to work in a multi-cultural environment.
  • Excellent organizational skills, including proven ability in administration, financial and logistics.
  • Excellent communication skills, including drafting documents;

  • **Excellent computer skills in the Windows and Microsoft Office especially MS Excel and MS Access.
