About Our Client
Our client is an international company.
Job Description
Manage physical and official documents by organizing and scanning into the internal database (passports, visas, permits, …)
Handle incoming calls and emails daily
Coordination with all departments for smooth running of meetings (luncheons, dinners, transfers, etc.)
Preparation & support material for facilitation of meetings (i.e. conduct research on externals persons before meetings)
Schedule meetings, conference calls and events
Handle incoming/outgoing travel arrangements such as accommodations, transportation, and itinerary.
Work directly with an Attorney to assist with day-to-day tasks and ad-hoc projects
Liaise & interact with external stakeholders (banks, clients …)
Maintenance of several databases (i.e. business cards, in-out gifts, offered cruises, contacts, corps de métier).
Maintain office supplies inventory & orders
Ensures operation of equipment by completing preventive maintenance requirements
The Successful Applicant
3-5 years of experience in administrative support, preferably at least 2-3 years of dedicated executive assistant with solid experience providing logistical support
Has a ‘can-do’ attitude and mindset ‘no task too big / no task too small’
Confident on the phones and professional over email
Can work in office five days a week
Flexibility, adaptability & stress resistance
Attention to detail and accuracy
Sensitivity to confidential matters & discretion
Communication skills with sensitivity to international environment
Positive attitude & Team player mindset
Strong computer and Internet research skills
