This position is responsible for contributing to the Paradigm Quest Administration team. As a Mailroom/Office Administrator, you will assist your Team in any administrative needs while maintaining the highest level of service and complying with policies, practices, and procedures.
Financial Logging and Reconciliation
Record financial details for both incoming wires and physical cheques, received daily
Liaise daily financial postings with servicing analyst team
Reconcile and prepare all items approved for daily bank deposit
Document Management
Process large volumes of outbound documents for both internal partners and homeowners
Review and distribute incoming documents to various internal departments
Transfer emailed broker/underwriter documents inbox into homeowner’s profile
Courier and General Mail
Sorting, opening, and review of all mail received daily
Actioning all outgoing courier requests for multiple departments
Open, scan and upload various mortgage documents from, but not limited to, physical mail, courier, and email.
Additional Role Specific Accountabilities include but are not limited to the following:
Monitor and maintain all department equipment, ordering supplies where needed
Verify and confirm property address, client name, mortgage details
Action all email requests and inquiries within service level agreements
Support cross-departmental mandates and goals, together with Finance, Servicing, and other departments as needed
Adhere to all company policies and procedures
Incorporates regulatory & compliance requirements into existing business processes and activities
Provide highest level of customer service to all clients and internal staff
Provide continuous feedback or recommendations for process improvement and provide solutions on how to improve
Handle multiple priorities in an ever-changing work environment
What You Bring To The Team
Minimum 1-year administrative experience
Possess a proficient understanding of MS Office Suite (Outlook/Excel/Word) skills
Possess a proficient understanding of Computers skills
Possess a proficient understanding of Internet and email skills
Completion of high school and/or some college would be preferred.
Mortgage industry experience an asset
Exhibits solid communication skills, both written and verbal with ability to communicate and articulate effectively
Flexible and adaptable/able to multi-task under pressure
Proven ability to meet deadlines and detail oriented
Proficient with Microsoft Outlook, Word, Excel,
Ability to work independently as well as part of a team
Strong analytical and problem-solving capabilities
