We are seeking a Legal Recruiting Manager to join the Charleston, Charlotte, Raleigh or Research Triangle Park office. This position will be responsible for managing all aspects of law student and lateral associate recruitment and development for multiple U.S. offices. Primary responsibilities include oversight of legal recruiting efforts, summer associate programs, lawyer on-boarding and orientation, and law school relationships. Additional responsibilities include working with legal search firms, facilitating the negotiating lateral associate placement agreements and communicating with and marketing the firm to lateral candidates. The Regional Manager will assist with the administration of the Associate Review Process and Associate salary and bonus programs and support Associates Committees. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

Duties And Responsibilities

  • Law Student Recruitment
  • Screening and processing all law student applications and producing appropriate correspondence.
  • Overseeing the applicant data tracking process and maintaining accurate applicant data in the database.
  • Serving as the office contact with all outside organizations involved in the Summer Associate recruitment process including the National Association for Law Placement and law schools.
  • Managing local and firmwide/multi-office recruiting efforts, as appropriate. Responsibilities include:
  • Registering for on-campus interviews and job fairs.
  • Hosting OCI hospitality suites.
  • Planning and hosting 1L outreach receptions.
  • Coordinating seasonal 1L/2L outreach events.
  • Planning and hosting pre-OCI receptions.
  • Managing law student communications.
  • Scheduling all call-back interviews and coordinating student travel arrangements and accommodations.
  • Meeting and greeting candidates and discussing the Firm’s recruitment procedures and policies, including the Summer Associate Program.
  • Assisting office management with hiring decision-making process.
  • Coordinating interview evaluation process/procedures.
  • Maintaining candidate files and updating and validating candidate status reports.
  • Coordinating candidate interviewing expense reimbursements.
  • Facilitating the offer process and adhering to the required pre-employment checks (conflicts, background, references) and education verification.
  • Monitoring local markets including compensation, perks, start dates and summer program lengths.
  • Summer Associate Program
  • Managing all aspects of the Summer Associate Program’s planning, coordination and follow-up.
  • Pre-program: sending student communications; event planning; assisting with mentoring assignments; preparing orientation materials; coordinating PD training programs with PD department; sending general office/attorney announcements; and updating summer associate extranet.
  • During program: conducting orientation; coordinating, planning and attending all social activities; planning and coordinating all local training programs; attending all FW PD training programs; advising summer associates on firm policies, procedures and other firm matters; managing SA evaluation process including facilitating the mid-summer review.
  • Post-program: facilitating offer decisions, extensions and follow-up and producing the appropriate offer letters and communications.
  • Lateral Associate Recruiting
  • Administrating Lateral Hiring Protocol including entering, maintaining and updating data in Metastorm.
  • Screening and processing resumes received from candidates and producing appropriate correspondence.
  • Overseeing the applicant data tracking process and maintaining accurate applicant data in the database.
  • Facilitating decision-making process and conduct follow-up.
  • Facilitating the offer process and adhering to the required pre-employment checks (conflicts, background, references) and education verification.
  • Negotiating/working with Legal Search Firms and arranging for payment of placement fees and referral bonuses.
  • Maintaining regular contact with search firms even when there are no active searches to stay informed about the market.
  • Coordinating advertising for lateral associate positions including posting openings on the K&LG website.
  • Maintaining lateral candidate and placement firm files.
  • Providing weekly/daily reports to Administrative Partners/Directors of Administration/other partners involved with active lateral searches.
  • Facilitating lateral and first year associate relocations.
  • Coordinating partner mentor assignments for associates with AC Chair and Professional Development and Mentoring Managers.
  • Distributing summer stipends and/or salary advances to first year associates.
  • Monitoring and processing Bar examination and Bar review course fees for incoming associates.
  • Completing New Hire and Change of Status forms for HR.
  • Preparing for arrival of associate by coordinating training schedule, collecting secretarial/office assignments, timekeeper IDs, phone extensions, office keys, etc. Arranging for clerkship bonus or stipend, where applicable.
  • Preparing orientation materials and schedule for associates’ first day orientation and coordinating, assisting with/conducting associates’ orientation.
  • Associate Development
  • Manage orientation, on-boarding and integration of all student and lateral associate new hires.
  • Assist Administrative Partners and Directors of Administration with the associate salary and bonus programs.
  • Provide support for office transfers, secondments, employee relations and terminations.
  • Work with Professional Development to develop local development programs.
  • Other Responsibilities:
  • Meeting regularly with and supporting Administrative Partner(s), Associates Committee Chair(s) and Associates Committees.
  • Assisting with local interview training for all lawyers.
  • Preparing and monitoring annual recruitment budget.
  • Assisting with arrival procedures for summer associates and associates, including preparation of all necessary HR forms and conducting exit interviews.
  • Annually updating NALP Form and related firm materials by collaborating with the Recruiting Systems Administrator on recruiting-related collateral materials including recruiting portion of firm’s web site and OCI fact pages.
  • Monitoring associate utilization and attrition rates for Associates Committee as requested and producing reports as necessary.
  • Preparing and distributing Associates Committee agenda and materials as necessary.
  • Scheduling and participating in all hiring and associates committee meetings.
  • Collaborating with the other Regional Managers and staff to plan strategically and identify ways to improve processes and procedures.
  • Developing relationships with lawyers in the office.
  • Monitoring local markets and stay informed with current market trends and law firm news.
  • Providing strategic advice on hiring to office when necessary.
  • Maintaining all necessary e-mail distribution groups.
  • Performing other tasks, as assigned.

Education And Experience

  • Bachelor’s Degree or equivalent industry experience required.
  • A minimum of 5 years of recruiting experience (required) preferably in a law firm or law school environment.
  • Experience with special event planning (required).

  • Requires excellent interpersonal and communication skills, good judgment, a professional and friendly demeanor, confidentiality, and strong professional and ethical standards.
  • Must be highly motivated, creative, flexible, results-oriented and possess the ability to work independently under pressure with demanding deadlines.
  • Must work well with all levels of firm personnel and must be able to establish effective working relationships throughout the firm.
  • Must possess strong organizational, administrative and word processing skills.
  • Must have proven working knowledge of MS Office, Excel and Outlook.
  • Must be proficient with applicant data tracking software, preferably PeopleSoft Recruit Workforce.

Physical And Mental Demands

  • Must be able to deal with stress associated with a fast paced work environment, including handling multiple tasks on a daily basis.
  • Must be able to make judgment decisions and handle daily, routine responsibilities.
  • Must be able to adapt to changing work situations and grasp and apply new ideas.
  • Must be able to communicate with various personalities at all levels of management and staff.
  • Must be able to accommodate a flexible work schedule that will frequently require long hours and periodically weekend work.

Working Conditions

  • Desk type position which requires a combination of sedentary and standing activities.
  • Daily use of personal computer and associated software systems.
