We have an opportunity at our corporate offices in Chicago for a Manager, HR Operations on our Human Resources team.
As a Manager, HR Operations you will oversee a broad portfolio of activities to ensure smooth and efficient business operations and supervise a team to provide excellent customer service to clients across the enterprise. Build and foster relationships while incorporating continuous improvement practices into HR’s operational work and managing complex programs. Provide counsel to, and advise, HR unit leaders on prioritization and resource needs and oversee budgeting, contracting, compliance and risk management.
Responsibilities
Operational Efficiency & Project Management
- Manage daily business operations, utilizing an understanding of the full spectrum of HR work (functions, policies, compliance, process and standards).
- Determine unit needs (resources/procurement) and implement/reprioritize as necessary to ensure smooth and efficient operations.
- Support unit leaders in short and long-term organizational planning and introduce timely and relevant environmental assessments and reporting into the planning process.
- Manage operations for peak performance and adapt as necessary to maximize results, advance efficiencies and reduce costs.
- Build and supervise processes, standards and resources that support and extend HR business operations, identifying areas of opportunity and developing and implementing operational enhancements.
- Improve and sustain teams’ performance over time, working towards beneficial solutions and providing outstanding customer service.
- Support participation in, and integration of cross-enterprise equity efforts.
Budgets, Contracts & Planning
- Institute and direct structured budgeting and business planning processes to be utilized by HR leadership.
- Develop and review monthly and quarterly assessments and forecasts of financials against budget and operational goals; oversee short and long-term financial and managerial reporting.
- Organize and ensure workstream leads operate successfully to plan; determine resource needs and raise and mitigate risks.
- Collaborate across AMA units, including coordinating and managing group interactions with Finance, Legal, IT and other support services units.
- Manage and administer document flow: SOWs/MSAs/contracts, NDAs, etc. ensure strong collaboration with external vendors and delegate to staff as needed.
- Oversee the electronic forms process and creation of severance agreements and benefit packets, ensuring the timely delivery of sensitive, critical and accurate information.
Staff Management
- Lead, mentor, and educate assigned Operations staff, ensuring they are integrated into work and discussions across the unit.
- Set direction, objectives, and project priorities; evaluate staff and consultants’ performance, ensuring the creation and maintenance of current process documentation.
Requirements
May include other responsibilities as assigned
- Bachelor’s degree in business or related field required, masters preferred.
- Minimum of 5 years’ experience in operations planning and executing projects or initiatives.
- Minimum 3+ years experience in Human Resources operations and/or generalist work strongly preferred; working knowledge of Human Resources compliance to federal and local employment laws and regulations.
- Demonstrated leadership ability to drive results as well as lead across the organization through influence and collaboration.
- Supervisory experience required.
- Proven ability to identify where process improvement is needed, and to develop, record and implement solutions that meet client needs. A continuous process improvement approach to managing work is required.
- Excellent interpersonal and communication skills to interact with all levels of management and outside business partners required. Demonstrated ability to handle private and sensitive information and assignments with tact, confidentiality, and discretion.
- Highly organized, efficient and strategically oriented; strong analytical and critical thinking skills required.
- Proven track record of managing multiple projects and high-level, high exposure initiative; ability to assess the impact of new project requirements on an existing team workload.
- Demonstrated budgeting and resource planning skills; knowledge of fundamental accounting principles.
- Proficiency in software programs such as Microsoft Suite and Project Management tools; PMP certification a plus.
