Title: Manager, Executive Affairs & Governance (经理,理事会秘书处)

Reports to: Secretary General, Secretary General, OPF

Location: Shenzhen

Major Functions

The position holder is responsible for building up and maintaining an effective governance structure and healthy governance culture for OPF by providing support to the Board. S/he will be supporting the Secretary General to ensure Board members are fully engaged and their potentials are unleashed to contribute to the mission and objectives of the organization. S/he will coordinate and help to prepare the meetings and updates of the Board, its associated Committees and Advisory Council.

Major Duties And Responsibilities

  • Responsible for the effective governance management including the Board, its Committees, and the Advisory Council, ensuring a seamless interface between various bodies and Secretary General
  • Support governance meetings (board meeting, committee meeting, advisory council and other necessary meetings) by drafting and managing meeting agenda, meeting minutes and other meeting material
  • Coordinate meeting logistic including flights, accommodation and venue, making meeting appointment and other logistics with support from Secretary General
  • Organize and coordinate with field trips, activities and events
  • Coordinate and customize communication to Board, Committees and Council members by preparing communication material such as newsletter, WeChat updates and other materials
  • Organize and coordinate proactive and timely communications with individual board members whenever necessary
  • Ensure Board and Council members and their participation in the organization’s affairs globally are well supported
  • Liaise with the Network partners to ensure a health and effective governance structure is built
  • Identify opportunities for Leadership and Management Team’s exchange and learning with other Network partner offices.
  • Identify and facilitate various exchanges between the Board and other NO Board members and/or Chairs to leverage opportunities for enhancing collaboration, profiling and fundraising.
  • Management of critical external partner’s relationship, including government relationship
  • Assist the Secretary General in coordinating internal teams to complete the audit, annual report, filing and registration required by laws and regulations.
  • Manage critical external partner’s relationships; monitor and maintain organizational MOUs.
  • Support the Secretary General to develop new partnerships with business, government agencies and NGOs.
  • Support the Board Chair to identify and develop potential new members for the Board and the Advisory Council.
  • Support to develop and manage high value donors
  • Manage regular updates and customized feedbacks to high value donors, including the donating board members
  • Coordinate within the organization to ensure donations from high value donors are solicited, materialized and evaluated
  • Identify, develop and cultivate new and potential high value donors
  • Undertake other tasks as assigned by the Secretary General.

Qualification

  • Minimum 8 years relevant working experience
  • University degree or above in management, marketing, communications or conservation relevant subject area
  • Understanding of NGO governance is a plus
  • Outstanding coordination, management and communication skills (spoken, reading and written).
  • Proven record of outstanding project management
  • Able to work effectively with senior internal and external executives as well as with program teams at all levels of the organizations
  • Discrete and able to maintain confidence
  • Responsive, efficient and a positive manner
  • Capacity and willingness to take initiative.
  • Creative and outgoing personality, with a deep commitment to nature conservation.
  • Ability to quickly adapt to new assignments and developments.
  • Good multi-tasking skills
  • Ability to work alone as well as a team player
  • Ability to work under stress and complex environment

Working Relationships

  • Internal (executive): Interacts regularly with Secretary General and PEPD team.
  • Internal (governance): Actively engage with China Board members, its Committee and Advisory Council members and potential members.
  • External: Interacts with senior government officials, business partners, NGO partners, donors and VIPs.
