Main Responsibilities

Providing administrative support to the Technical Services department such as:

  • Preparation and minutes for the weekly team leader meetings
  • Organization of the department meetings
  • Supplier correspondence
  • Ordering supplies
  • Organizing files, performing data entry, and maintaining accurate records
  • Scheduling and coordinating site meetings and virtual sessions incl. session support
  • Postal mail distribution
  • Visitor registration
  • Office support like printing & collecting signatures
  • Updating Intranet & SharePoint sites
  • Supporting the preparation, editing & writing of communication eMails & newsletter
  • Updating info boards on site
  • Maintaining media databases
  • Deputizing in absence of the communications specialist

Who we are looking for

  • Commercial Education or University degree
  • Administrative Work experience
  • German mother tongue and good English communication
  • Well organized and structured method of work
  • Proactive and strong communicator
  • Highly committed personality, ability to deal with confidential information
  • Very good command of MS-Office products, IT-literate, ideally SAP and/or SharePoint knowledge
  • Experienced in working with virtual meeting tools like MS Teams, Zoom, Pigeonhole

This job based in Bern, Switzerland will initially be limited to approx. 12 months.
