Overall Summary

  • To be a member of the centralized mail function based in the Northwich office, administering incoming mail for all CBAM offices and outgoing mail activities. This will include scanning and profiling onto the document management system and archiving, where applicable.

Responsibilities

  • Sortation and distribution of all incoming mail.
  • Identification of incoming document/letter type/content to enable accurate scanning and profiling onto relevant document management system.
  • Involvement in collection of incoming Mail collection from local Northwich Royal Mail sorting office.
  • Involvement in all relevant outgoing postal processes, including internal departmental collections around the office and all applicable dispatch processes.
  • Carry out activity to ensure documents are archived correctly and can be retrieved when required.
  • Involvement in a range of other administrative tasks, which fall under the department’s remit, including tasks of the Fulfilment arm of the team, including out of normal business hours activity.
  • Involvement in the delivery of cheques to the local RBS bank branch.
  • To assist with maintaining an up-to-date Procedures Manual.
  • To inform Line Manager of areas of concern and issues that may arise.
  • To participate in the Appraisal and Development Scheme.

  • Demonstrate the Firm’s Business Principles (Client, Excellence, People & Integrity).
  • Demonstrate an understanding of and compliance with regulatory framework relevant to the role, whilst practising effective risk management taking account of outcomes for clients.

  • Keen attention to detail.
  • Ability to work quickly and accurately within very tight deadlines.
  • Good team player with the ability to work on own initiative.
  • Flexibility and availability to work overtime during peak workload periods.
  • Previous Financial Services experience, specifically in a Wealth Management business, would be an advantage.
  • Previous experience working in a busy mailroom environment, dealing with incoming and outgoing mail would be a great advantage.
  • Previous experience of dealing with high volumes of confidential client paperwork and involvement in scanning documentation onto a document management system would be an advantage.
