Job Overview: The Logistics Supervisor is responsible for coordinating and overseeing the logistical operations that support the provision of services to beneficiaries served by the IRC in Tallahassee. The core areas of responsibility cover housing arrangements, procurement and distribution of furnishings and supplies to all new arrivals, client transportation for airport pick-ups and service appointments, and ensuring the availability of additional service delivery support through the recruitment, hiring, training, and supervision of case aides and/or interpreters. The Logistics Supervisor oversees a team of housing staff, case aides and/or interpreters. This is a full-time, exempt position reporting to the Site Director in Tallahassee.

Major Responsibilities:

Responsibilities include, but are not limited to:

  • Ensure client success with a strong emphasis on empowerment through high quality service that supports clients to thrive in their community.
  • Provide leadership to assigned team members including:
  • Weekly one on one meetings with direct reports and regular team meetings with team members
  • Effective delegation of duties and responsibilities
  • Consistent and ongoing feedback and communication
  • Coaching of team members
  • Recruit and retain staff to ensure the delivery of high quality, culturally and linguistically competent service delivery.
  • Coordinate and oversee logistical support of all resettlement services including transportation services and interpretation support provided by case aides and interpreters.
  • Act as principal liaison with IRC’s Assurances & Travel Unit and International Organization for Migration (IOM) staff on matters related to case arrivals and travel.
  • Ensure appropriate, affordable, compliant housing are setup for all new arrivals and act as a liaison with leasing offices to ensure ongoing quality control.
  • Ensure compliance with home safety standards and follow up with property management regarding maintenance, safety needs and client requests regarding housing.
  • Oversee procurement of supplies for the Reception & Placement program, maintaining accurate inventory of supplies, placing purchase orders, researching vendors for best values and maintaining proper documentation.
  • Communicate regularly with program staff on all operational and processing issues, ensuring strong coordination and exchange of information on client progress.
  • Communicate regularly with the Site Director about all issues of concern as it pertains to high quality service delivery for clients.
  • Satisfy recordkeeping requirements.
  • Make recommendations for continuous improvement in related areas.
  • Use personal, insured vehicle and/or public transportation (where available) to travel and transport clients and materials as needed throughout the service delivery area.
  • Other duties as assigned.

Job Requirements:

Education: Bachelor’s degree required. A graduate degree in business/management/logistics, human services, social work, or a related field is highly preferred.

Work Experience:

  • A minimum of three (3) years of program management experience, preferably in Social Services, Non-profit, Logistics or refugee services sectors.
  • A minimum of one (1) year of demonstrated, successful people management experience is required.
  • Experience in refugee serving programming is highly preferred.

Demonstrated Skills & Competencies:

  • Strong relationship building, diplomacy, and networking skills; ability to effectively build internal and external relationships.
  • Demonstrated ability to manage complex logistics involving multiple stakeholders within a limited timeframe.
  • Demonstrated ability to promote an organizational culture that reflects IRC’s core values of service, accountability, integrity, and equality. Ability to lead in a way that recognizes that IRC’s work is best accomplished through the true collaboration of individuals from many cultures with a great variety of skills and perspectives.
  • Proven success working and communicating effectively in a multi-cultural environment.
  • Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.
  • Proven ability to contribute both independently and as a key team member.
  • Proven ability to work under pressure with deadlines and manage multiple priorities in a fast-paced environment is a must.
  • Excellent attention to detail and ability to track multiple overlapping services and clients to ensure effective service delivery is critical.
  • Initiative, creativity, and ability to complete projects independently.
  • Ability to regularly lift ~50 lbs.
  • Able to work a flexible schedule that includes evenings and weekends and maintaining on-call, backup support.
  • Fluent in English, both spoken and written.
  • Fluency in additional languages preferred.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research and problem-solving purposes. Database experience strongly preferred.
  • Valid driver’s license and access to a personal, insured vehicle.

Working Environment:

  • A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
  • Local travel required.
  • May require occasional weekend and/or evening work.
