Background of the program

Syphilis among pregnant women is a highly neglected but addressable problem, responsible for more than 300,000 serious adverse outcomes annually (stillbirth, neonatal death, and congenital syphilis). Nearly all of these adverse outcomes can be prevented inexpensively and easily if women are tested and treated during antenatal care visits. The recent development and WHO pre-qualification of an affordable rapid dual diagnostic test for HIV and syphilis has made it possible to achieve near universal testing and treatment for governments that choose to deploy this test at antenatal clinics. Evidence Action has launched a maternal syphilis program in Liberia through which we provide technical assistance to the Government of Liberia and the National AIDS and STI Control Program (NACP) in scaling up this intervention. As of 2021, nearly half of pregnant women in the country seek care at a facility trained to provide syphilis screening and treatment. We are working to reach the remaining half of pregnant women over the coming years.

Job purpose

The Logistics Officer will provide support to the Maternal Syphilis program team in the areas of operations and program assistance. The role is responsible for ensuring effective planning, operational support for the effective implementation of the maternal syphilis program, assistance in logistics, and effective coordination across teams as needed.

Duties and responsibilities

  • Assisting with all facets of the day-to-day operations of the office.
  • Providing administrative support to Program throughout the implementation of Maternal Syphilis program including communicating between program participants, and other staff, creating and updating program schedules and assisting in planning and managing program events.
  • Assist program managers and associates to compile program and operations data when required; entering data into a database
  • Support in maintaining data from the various program WhatsApp channels
  • Assist with the processing of all procurement of program supplies, office supplies, training materials, training venues, catering services, among others that are needed in accordance to the procurement policy
  • Follow up with suppliers e.g. delivery schedules of goods and other procurement related concerns. This includes coordinating with the suppliers/service providers for the delivery and transportation of the goods for the program
  • Identifies what goods/equipment needs to be replenished, purchased and/or dispersed
  • Issues assets to Staff and tracks assets assigned to Staff through the Asset Register and ensures that all assets are well recorded, maintained and safe guarded at all times.
  • Support in the verification of phone numbers with mobile money providers (MTN and Orange) to ensure timely payment
  • Managing inventory and completing inventory documents
  • Provide logistics and administrative support during training and meetings, including compilation and distribution of agenda papers, provision of reports, minutes/note taking and follow up of issues raised.
  • Provide diverse administrative and related project tasks including; photocopying; accommodation and venue bookings; compilation of manuals and reports; filing and record management
  • scheduling and coordinating stock taking and reporting
  • Tracking of material deliveries, collecting and storing of all shipments in a timely and cost effective manner
  • Act as custodian of all stock including receiving, storing, insuring and reporting

Qualifications

  • Bachelor’s degree or it’s equivalent in any related field
  • 2-3 years’ work experience
  • Excellent organizational and time management skills;
  • Strong data entry skills
  • Ability to liaise well with others and serve as a team player
  • Strong oral and written communication skills;
  • Attention to detail;
  • Flexibility and adaptability to changing workloads
  • Excellent Microsoft Word and Excel skills
  • Conscientious and efficient in meeting commitments, and observing deadlines and achieving results
  • Identify priorities activities and assignments and adjust priorities as needed,

Preferred Qualifications

  • International Development experience (Experience working for a non-profit)
  • Experience with mobile money payment systems
  • Experience with Finance, Accounting, Procurement
