Background
Habitat for Humanity International (HFHI) is a global organization working towards providing safe, affordable housing for all. In Ukraine, HFHI is focused on rebuilding homes damaged by conflict, promoting housing resilience, and advocating for inclusive housing policies. The Logistics and Administrative Consultant will play an important role in supporting HFHI operations in Ukraine, ensuring the effective management of logistics, office administration, and procurement processes during the start-up phase.
Purpose of the Position
The Logistics and Administrative Consultant will support HFHI’s operations in Ukraine for a period of 3 months. The consultant will be responsible for logistics coordination, office administration, and procurement processes to ensure efficient operations. A service contract will be provided for the duration of this consultancy. The position will be part-time.
Key Responsibilities
Logistics Management
- Procurement: Develop the procurement plan and oversee the procurement of goods and services in compliance with HFHI policies and local laws.
- Supplier Relations: Identify and negotiate with local suppliers, ensuring service and delivery efficiency.
- Transportation: Coordinate transportation for personnel and equipment across project locations.
Office Administration
- Office Setup: Assist in setting up HFHI’s office, including finding appropriate office space and handling lease agreements.
- Inventory Management: Ensure timely procurement and availability of office supplies and equipment.
- Administrative Tasks: Handle general administrative duties including filing, document management, and logistics for meetings and events.
Financial and Compliance Support
- Expense Monitoring: Track expenses related to logistics and procurement to ensure adherence to the HFHI requirements
- Reporting: Provide regular reports on procurement, asset management, and administrative functions.
Security and Safety Support
- Security Protocols: Adhere to and ensure logistics operations follow security protocols as directed by HFHI, and in coordination with the Safety and Security Advisor
- Safety Equipment: Ensure availability of safety and first aid equipment at office -in coordination with Safety and Security Advisor
Coordination and Communication
- Coordination: Support HFHI, its suppliers, and partners for logistics and administrative matters, including travel arrangements and bookings
- Communication: Assist and advise HFHI team in arrangement of events, workshops, and meetings in coordination with local partners and stakeholders.
Qualifications
- Bachelor’s degree in Logistics, Business Administration, or a related field.
- At least 5 years of experience in logistics, procurement, and administration, preferably within international organizations or humanitarian projects.
- Possession of local permit to provide services.
- Strong organizational and problem-solving skills.
- Proficiency in Microsoft Office and relevant procurement/management software
- Knowledge of Ukrainian procurement regulations
- Experience in logistics and/or procurement field in international organization is a strong asset
- Excellent communication skills in both Ukrainian and English.
- Ability to work in a dynamic, fast-paced environment.
- Attention to details and being proactive
