GRC is committed to enhancing compliance with international humanitarian law (‘IHL’), international criminal law (‘ICL’), and international human rights law (‘IHRL’) in fragile and conflict-affected states(‘FCAS’).

We are looking for Logistics and Admin Assistant who will be assisting on a daily basis Admin, Operation, and Logistics efforts.

DUTY STATION: The job will be remote.
CONTRACT DURATION: 6-month contract with a possible extension.

DUTIES AND RESPONSIBILITIES

  • Coordinate all logistical arrangements in Ukraine for international team deployments and events, including booking rooms, accommodation, and train tickets as well as arranging meeting rooms, etc. according to GRC policy.
  • Assist the Administrator in booking hotels, flights, and train tickets for the project deployments according to the donor requirements and GRC policies
  • Assist the Administrator in liaising and finalizing procurements, service providers, and any other externals
  • Handle all correspondence with the travel agency
  • Create and maintain Admin paper, electronic files, and databases up to date.
  • Follow-up on specific processes, purchases, and quotations.
  • Managing and updating records
  • Check and help with the preparation of travel and expense reports for field missions.
  • Assist in day-to-day operations in the administration of GRC.
  • Maintain up-to-date files and records of admin documentation.
  • Prepare and submit admin-related expense reports (accommodation, train)
  • Perform any other tasks assigned by the supervisor.

ATTRIBUTES AND EXPERIENCE

  • Working level of English
  • Prior work experience in a similar role will be considered an asset
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills
  • Good knowledge of MS Office and Google Drive, Teams
  • Attention to detail and process-oriented
  • Compatibility for both independence and teamwork.
  • Excellent organizational and planning skills
  • Ability to manage sensitive and confidential information
  • Multitasking skills
