About the job

The objectives of the position are to carry out the Supply Chain, Fleet, Equipment/Asset, Stock, and Premises Management. The Logistics Officer is responsible for coordinating, consolidating, and ensuring smooth implementation of and adherence to logistic and procurement procedures, Fleet management warehouse activities and provides logistical support to AAF Projects in Iraq.

Reporting Structure

For day to day, operational management requirements the Logistic officer reports directly to the AAF Country Director or any other designated person appointed/instructed by the AAF Management.

Responsibilities:
��� Asset management, including control of asset requisition, movement, and upkeep of an assets list etc.
��� Define logistics strategy within the AAF policies and procedures; ensure effective integration of logistics operations.
��� Provide planning support and advice to those making a procurement request, then process and manage the procurement process (either… locally or internationally) in accordance with AAF and donors��� policies and procedures, in a transparent, accountable, efficient and cost-effective manner.
��� Responsible to complete all procurement requests on time and make sure that all the payments are supported with needed documents.
��� Follow up with suppliers and contractors to ensure timely and effective supply and delivery of goods, services and works.
��� Manage the Transportation of goods in and out.
��� Make sure that all safety / security rules implemented and followed (First Aid Kit, vehicles in good condition).
��� Follow vehicle rental contracts for all AAF projects.
��� Prepare request for quote (RFQ), Tender Package and monitor bid reception;
��� Prepare assessment table, Tender report and get approval according to AAF standards;
��� Prepare purchase contract or SPO, collects approval and send out to supplier;
��� Responsible for the ICT equipment���s and ensure the procedures and follow the policy.
��� Ensure installation, maintenance, repairs of the equipment (including computers, printers and other equipment as needed).
��� Make sure that all utilities are functional and available (Electricity, Water, Gas, phone, internet etc.)
��� Make sure all premises are equipped with a first aid kit and fire extinguisher
��� Make sure all premises are secure and protected from all threats (theft, electric surge, fire etc.)
��� Make a monthly report on vehicle cost, use and maintenance (expenditure as well if rental contract change)
��� Prepare monthly/quarterly reports by updating inventory lists, stock reports, and procurement tracking sheets and update the project on procurement status reports.
��� Responsible to issue and renew JCMC, JCCC, or any other access letters on request.
��� Develop mapping access for AAF projects��� governorates.
��� Follow and implement all the logistics activities.
��� Any other duties assigned by the Line Manager.

Qualifications & Preferred Skills
��� University Degree and knowledge of logistics and procurement procedures. Any Management experiences will be desirable.
��� At least two years of experience working in logistic Office or relevant field with NGOs.
��� Ability to effectively use computer software including Microsoft Outlook, Word, and Excel.
��� Good in spoken and written English, Kurdish and Arabic is a must.
��� Able to priorities clearly, oversee multiple tasks and multiple projects, set clear objectives for staff and delegate.
��� Excellent organizational and time-management skills.
��� Act as a reliable and supportive team member.
��� Excellent communication and interpersonal skills
��� Problem-solving and decision-making aptitude.
��� Be able to conduct frequent travel to AAF projects sites in GOI and KRG.
