As a member of the Legal Department, this position provides paralegal level support to the diverse activities of the Legal Department, and supports CARE business units in matters relating to planned giving, country office staff support, and other areas as necessary. The position provides support and advice to the organization on various areas of legal and compliance work, and requires engagement of internal or external legal counsel, as necessary. Independent judgment is a necessity and superb organizational skills are required.

Responsibilities:

  1. Estate/Trust Management
    • Coordinate the activities of the Planned Giving department, internal counsel and external counsel.
    • Assume primary responsibility for the management of all active estate/trust gifts, representing approximately 100 active files , to ensure that CARE receives its full entitlement. Responsibilities:
      • Work closely with external counsel on the settlement of files being managed by them. Serve as their key contact at CARE, providing information and guidance as needed.
      • Manage all planned giving files in order to review paperwork received; follow up to ensure all files are reviewed periodically and that CARE receives its distributions timely (seeking advice from counsel when appropriate).
      • Draft and prepare documents, correspondence, various form letters, and memos as necessary, with attention to detail.
      • Review all receipts, releases, waivers, etc. and make legally compliant for execution by authorized in-house signatories and/or corporate officers.
      • Maintain CARE’s estate and trust database files in Salesforce, making sure all financial information is current and all documentation is uploaded.
      • Work with gift processing to process all estate and trust checks .
      • Follow up with the personal representative or lawyer to make sure CARE receives its full distribution.
    • Maintain listing of all second-generation prospects generated from all estate and trust files.
    • Prepare periodic and regular reports to analyze gifts received and projected.
  2. Legal Department Administration
    • Serve as Knowledge Manager for maintaining all legal documents electronically and on Sharepoint as appropriate. Determine appropriate protocols for Legal Department document retention. Maintain Legal Department form files and legally-required immigration files.
    • Manage billing matters with outside legal service providers, including billing of legal matters to CARE Departments incurring outside legal costs, review and verify invoices, maintain information on outside legal firms, pro bono and paid. Maintain listing of pro bono counsel and perform annual survey to collect pro bono amounts.
    • Process travel expense reports and invoices as necessary.
    • Manage phone and email inquiries, including legal and fax inboxes.
    • Open, organize and prioritize all mail coming into Legal Department; respond to inquiries when appropriate.
    • Provide technical support to Legal team and assist the helpdesk team to resolve technical issues.
    • Manage and where appropriate advise on general Legal Department inquiries from other departments as well as outside CARE, coordinating departments and/or involving attorneys or outside counsel as needed.
    • Manage other key legal department processes as assigned.
  3. Legal Department Afghanistan Country Office Staff Support
    • Manage Afghanistan Staff Support email inbox, including review, respond and triage all emails.
    • Manage P2 referral process, including communication with requestor and all internal CARE processes.
    • Interact with U.S. Department of State to submit P2 referrals and respond to requests for information.
    • Provide regular reporting on P2 referral processes.

Qualifications:

  • An undergraduate degree.
  • At least 3-5 years prior experience working as a paralegal.
  • Experience and comfort with Salesforce.
  • Excellent computer skills, including proficiency in Microsoft Word, Excel and PowerPoint.
  • Excellent oral and written communication skills in English.
  • Excellent administrative and organizational skills.
  • Ability to work with a wide range of internal and external clients at multiple professional levels.
