Macfadden, an Amentum company, employs Knowledge Management (KM) Specialists to support USAID’s Bureau for Humanitarian Assistance (BHA). BHA leads and coordinates the U.S. Government’s humanitarian assistance efforts overseas in response to natural disasters and protracted crises. The bureau also supports early recovery efforts that restore and protect basic systems and services and invests in risk reduction programs that prevent or reduce risks associated with chronic and recurrent hazards. As part of BHA offices based in Washington, D.C., KM Specialists provide administrative, programmatic, and operational support to BHA staff.

BHA’s Office of Field and Response Operations (FARO) leads and manages operational assistance and the purchase and delivery of goods and services in response to declared foreign disasters and international humanitarian needs in key functional areas on behalf of the USAID’s Bureau for Humanitarian Assistance (USAID/BHA), including supply-chain management, procurement, logistics, oversight, and operational coordination with the U.S. military.

This position is located within the Civil-Military Systems Coordination Team (CMSC), Civil-Military Disaster Operations Division (CMD) within FARO. Day-to-day work assignments and oversight are provided by the CMSC Team Lead, Unit Lead, or their designee with formal supervisory and evaluation functions performed by a Macfadden contract supervisor. The KM Specialist will work with the CMSC Team Lead to build and maintain platforms for learning, support knowledge management and sharing across the Division, and develop tools and resources in support of CMD’s knowledge management systems.

Specific KM duties vary based on division or team assignments. KM duties include and are not limited to:

  • Maintain and provide recommendations to improve existing guidance and KM tools;
  • Assist in supporting teams in applying knowledge management principles and best practices;
  • At the direction of the CMSC Team Lead, assist in execution of long-range plans, goals, and objectives of the Knowledge Management program;
  • Responsible for training employees on using Knowledge Management tools and filing systems within the Enterprise Architecture;
  • Assist the CMSC Team to identify the internal and external best Knowledge Management practices;
  • Support the development of policy and program guidance on the implementation of the CMD Knowledge Management System, to include a repository of best practices and lessons learned;
  • Coordinate with colleagues in FARO and other BHA offices, as requested, in support of knowledge management and learning activities;
  • Maintain activity calendars and team schedules;
  • Organize team meetings, calls, or other events, including sending out invitations and reminders, developing agendas, and managing room or facility reservations, phone bridge lines, and other logistics;
  • Attend meetings and events on behalf of a team in a note-taking or administrative- support capacity;
  • Create and managing folders and filing systems on behalf of a team;
  • Assist in supporting teams in applying knowledge management principles and best practices;
  • Develop and support implementation of standard civil-military operational templates and systems to standardize communication and document creation.
  • At the direction of the CMSC Team Lead, research and share best practices for troubleshooting challenges to learning that CMD may encounter in daily work.

Education, Experience, and Skills Requirements

Bachelor’s degree preferred, with minimum two years of professional/office experience preferred. Professional/office experience may include internships.

Qualified KM candidates should:

  • Possess excellent judgment and reliability,
  • Have strong organizational skills and exceptional attention to detail,
  • Possess excellent oral and written communication skills,
  • Have strong working knowledge of Microsoft Office and Google Suite,
  • Be able to multitask and work under deadlines in a fast-paced and collaborative environment,
  • Be capable of prioritizing tasks and follow up on actions without prompting,
  • Be flexible and adaptable to changing circumstances, and
  • Be willing to go the extra mile and participate as an active team member who assists other team members as necessary.

The ability to obtain a United States government-issued Secret-level security clearance is required for this position.
