Job Title: Knowledge Management & Communications Associate

Department/Location: ODTT/Vienna, VA- Vienna, VA

Reports To: ODTT/ BD Management

Type: Regular Full-Time

Classification: Non-exempt

Overview:

The Organizational Development and Technical Training (ODTT) office was created to promote an IBTCI-wide support mechanism for all technical areas, allowing the other practices easier and more structured access to models, tools, guidance, trainings and language that can be recommended from IBTCI’s diverse experience in overseas assistance. It also works closely with Business Development in tracking new opportunities that move IBTCI toward diversification, particularly new products and clients. ODTT also backstops different practices with technical assistance and training activities. The Knowledge Management and Communications Associate will work closely with ODTT and Business Development Divisions.

Responsibilities

Essential Duties/Tasks and Responsibilities:

Communications:

  • Monitor various client business development and forecast websites on a daily basis for relevant opportunities and distribute to designated staff in a timely manner;
  • Post to and curate IBTCI’s main social media platforms
  • Actively engage target audience with relevant posts and increase traffic by publishing campaigns and news about company events and staff.
  • Conduct periodic analysis and strategize to increase followers and traffic.
  • Assist in updating content on IBTCI homepage;
  • Prepare content and design of IBTCI internal newsletter
  • Review IBTCI submission as per client Marking and Branding Guidance and Plans
  • Assist with formatting, graphics, and compliance of IBTCI proposal submissions;
  • Assist with the coordination ofIBTCI’s attendance and representation at various industry events:
  • Support the implementation of IBTCI’s Communications Strategy

Knowledge Management

  • Assist to create methodology and approach for extracting knowledge from program implementation (best practices) and proposal development (proposal library) processes and data;
  • Assist to build on a repository of best practices in knowledge management and sharing for use by IBTCI’s staff and management;
  • Assist to promote knowledge sharing through IBTCI’s operational business processes and systems by strengthening collaboration between Practice and Divisions, external sources, and the information systems to facilitate seamless exchange of information across the system;
  • Assist to promote collaboration tools and the establishment and nurturing of communities of practice, including workshops and one-on-one guidance;
  • Assist to promote sharing of experiences across communities of practice, Technical Practices, and Operations Divisions;
  • Assist to develop and encourage innovative approaches in the project implantation and proposal development deliverables

Additional Duties/Tasks and Responsibilities:

  • Conduct research and provide support for capture and bid opportunities as needed.
  • Stand in on a temporary basis for Program Associates as needed.
  • Provide peer review on tasks implemented by Program and BD Associates
  • Provide logistical support for workshops, meetings, trainings and USAID-sponsored conferences, and other events.
  • Participate in team-wide meetings and initiatives.
  • Promote integration and cross-fertilization of ideas and information and among TOs and projects.
  • Participate in initiatives within IBTCI related to assistant Corporate Operations with developing standards, policies, management tools, training based on project experience.
  • Respond to other ad hoc requests as directed by the Practice/ Project management.
  • Other duties as assigned.

Qualifications

Minimum Requirements:

  • At least 1 year of related professional experience.
  • Must be a team player and work well in groups, while also able to effectively work independently.
  • Flexibility and adaptability required.
  • Strict attention to detail required.
  • Experience managing organizations social media accounts
  • Oral and written fluency in English required; fluency in another language preferred.

Preferred Knowledge, Skills and Abilities:

  • Excellent interpersonal and communication skills
  • Ability to format, edit, and proof written materials
  • Proven ability to work with all levels of the organization and across practices on multi-sectoral topics.
  • Self-starter with the ability to follow through all tasks to completion.
  • Full proficiency with Microsoft Office Suite, Word, Excel, and PowerPoint
  • Excellent writing, research and organizational skills.
  • Sense of Humor.

Education: Bachelor’s degree in business administration, management or related field required.

Working Environment: Work is typically performed in an office environment. Currently the company is allowing for remote work due to COVID 19 in the District of Columbia, Maryland and Virginia (DMV) area. This can be updated by the company.

COVID Vaccine status: As a condition of employment, IBTCI requires all new employees to be fully vaccinated against COVID-19. Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Travel: International travel possible and may include travel to fragile and/conflict-prone zones.

Work Authorization: Candidate must be authorized to work in the U.S.A. Visa sponsorship is not available for this position.
