Job Purpose

You will be responsible for managing the day-to-day operations of the Abu Dhabi office including managing schedule(s) and communications on behalf of the company executives. Additional duties include but are not restricted to, general office facilities and maintenance, prioritizing emails and phone calls, gathering documents to prepare for meetings, coordinating travel arrangements, booking and collating all residency, health and family requirements and general administrative tasks. As with all of our team you will be expected to assist us in building and executing our growth plans.

 

Duties and Responsibilities

Administrative duties include:

 

Providing general office management and facilities management services.
Monitoring office decoration and liaison with headquarter personnel if necessary
Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
Must be proactive and analytical with the ability to predict potential events/issues and analyze all options available.
Provide cover for front of house customer service, including answering phones and greeting guests as and when required.
Manage schedules for appointments and deadlines and maintain comprehensive and accurate records.
Take and pass on clear messages and communicate effectively with customers, clients, team members, and management.
Develop and maintain efficient and effective administrative processes on behalf of the executive freeing up time and reducing waste. This includes organizing catering requirements, hospitality events, travel, obtaining visas, booking all associated accommodation and health screening checks and ensuring equipment is available and functioning in destination locations such as IT, phones and bank accounts.
Keep an organized file system.
 

Financial duties include:

 

Performing minor accounts payable duties.
Assist if required on VISA applications documentation
 

 

 

Experience (essential to any successful application)

·        8-10 years proven work experience as an office manager, executive assistant, finance administrator or similar role within financial services.

 

 

Skills

Exceptional verbal and written English communication and written skills (Arabic advantageous).
Exudes professional discretion at all times.
Ability to multitask and prioritize tasks for the CEO/executives.
Excellent time management skills with the ability to perform under pressure and meet deadlines.
Well-developed organizational skills.
High levels of attention to detail.
Practical experience with accounting software.
Able to quickly learn and adapt to new software and processes.
Works well in a team environment and with upper management.
With a proactive working attitude and high integrity
Strong service mindset

 

Qualifications

Bachelor’s degree or equivalent in a relevant administrative/financial field preferred.
Candidate with experience in hospitality, concierge, customer service and aviation industries would be an added advantage
