Focal points in regional offices and affiliates.

Contract: Fixed term (12 months)

Working Hours: Full time (37.5 hours a week)

Salary: £34,280 gross per annum

Location: Article 19 is a flexible employer and encourages a hybrid working

environment. The frequency of time in attending the office and

working from home is to be agreed with the successful candidate.

Your contribution to the team

Your role as International People and Culture Assistant will play a vital role in driving HR excellence across Article 19 whilst embracing our values in all that you do. Your focus will be on delivering exceptional support across the employee life cycle, streamlining processes, and assisting with good compliance for policies and regulations to enhance our working environment.

As the primary contact for day to day HR enquiries relating to systems, policies and processes or escalating queries as needed to your team members, you will also engage in the continuous improvement and development of these.

You will collaborate with the P&C team on a range of HR initiatives, contribute towards the creation of new policies and practices and embed best practice along the way. Your organisational skills, ability to respond to queries efficiently and attention to detail will be instrumental in providing staff with a first class service along with support from your colleagues in the team.

What you can expect in a typical day

1. HR support

Ensure all staff information (documents, changes in contracts, annual leave, etc) is recorded and updated on our PeopleHR system.

You will serve as a reliable source of information for staff, promptly answering queries and providing guidance on HR, policy and processes whilst maintaining confidentiality. You will also:

  • Process payments, filing, and perform other related administrative duties.
  • Assist the People Partner with employee relations issues as and when required.
  • Respond to queries in line with our Reward framework (A19’s salary structure and benefits).
  • Coordinate support to learning, development and teambuilding initiatives and events.
  • Create HR analytics and data for reports as and when required
  • Support draft/proof read and implement organisation-wide policies and procedures.
  • Assist with projects and engage in change management processes
  • Support our focal points in regional offices in the interpretation and application of local labour law.
  • Ensure all records are GDPR compliant including the processing of recruitment information, sickness absences, starters, leavers and changes in terms and conditions of service.
  • Apply initiative and creativity with ideas for improving systems and processes including expansion of our use of People HR system.

2. Recruitment and Selection:

You will play a pivotal role in leading, with guidance from the P&C team on all recruitment activities including:

  • Support and advise to hiring Managers where necessary on recruitment through to the onboarding stage.
  • Provide clear guidance to hiring managers in delivering a fair and consistent recruitment process.
  • Support hiring managers in securing strong candidates that will act as a culture add to the organisation
  • Advertise roles on job boards, taking into account diverse sites with guidance from the P&C team where required.
  • Create roles and keep the applicant tracking system (ATS) and website updated.
  • Coordinate interviews and liaise with candidates, the hiring manager and interview panel
  • Ensure compliance of all UK recruitment processes with GDPR, employment law and A19 policy, with support from the P&C team
  • Conduct Right to Work as well as references and any other relevant checks on all employees.

3. Onboarding & Induction

You will be responsible for supporting the hiring manager in creating a robust and thorough onboarding and induction plan for the new starter, this will also include:

  • Preparing offer letter, contract and supporting documents for review and sign off
  • Providing guidance to managers on preparing for new starters
  • Ensuring correct completed paperwork is provided in a timely manner for payroll purposes.
  • Deliver P&C inductions for all new employees on HR systems, processes and information resources.

4. Other duties

  • All staff cover for each other during leave or if someone is out sick. This means you may have to occasionally take on tasks outside the normal scope of your job.
  • Although your job involves providing first line support, sometimes you may be required to step in and provide support on other HR tasks. This doesn’t happen often but if it does, it’s all hands on deck.

What you will bring to the role

Knowledge and skills

  • You will be CIPD qualified, working towards a qualification or come equipped with relevant experience.
  • Possess good knowledge of employment law and HR best practice. Working knowledge of the regions we operate in will be an advantage but not essential.
  • You will be a people person with a proven ability to create and maintain strong relationships at all levels whilst applying an empathetic and understanding approach to difficult scenarios
  • Be a team player with the ability to work well both independently and in a team
  • Have a collaborative and supportive style of working with the foresight to step in and support team members when needed
  • Attention to detail and organisations kills with the ability to be flexible, multi-task and respond proactively
  • Demonstrate excellent written and oral communication skills as well as excellent written and spoken English plus one other A19 language (Spanish, Portuguese or French) would be desirable.

Experience

  • You will have solid experience of supporting managers and staff on a range of people queries and issues.
  • Demonstrate experience of developing and maintaining positive employee relations.
  • Proven experience in managing the candidate experience through recruitment, induction and onboarding.
  • Strong experience of operating in a global, multi-cultural and complex environment with commitment and drive for fairness and equal opportunities.
  • Your knowledge and/or experience of working for a human rights organisation will be an advantage.
  • Proficiency in administrative duties such as communications, data entry, and record keeping.
