General Description of the Role

The purpose of the Information Technology Officer (IT Officer) role is to ensure that RET’s cloud based information technology systems (Microsoft 365 and Azure) are operational, that access is provided according to internal processes and that training and support is offered to users as needs arise. The IT Officer will also provide a vision of what improvements and new use cases are necessary to maintain RET’s IT systems up to date.

The systems managed by the IT Officer operate in the fields of staff productivity applications, field data management, archiving and business automation.

Reporting Line

The IT Officer reports directly to RET’s Chief of Staff and follows the objectives and guidance of Heads of Departments, when attributed a specific project under the responsibility of these said departments.

Occupation Rate

Depending on the position requirements and the preference of the position holder, the working hours can be agreed full-time or part-time.

Scope & Place of Work

Though based in Geneva, Switzerland, the IT Officer’s responsibilities may cover any and all of RET countries and regions of presence (operational and donor countries), as well as potential countries and potential regions of presence. This may imply occasional travels to any of these locations.

The RET IT Officer will have access to RET headquarter offices in Geneva for standard workdays, but RET also recognizes the ability to work from home when is convenient for the IT Officer and no business requires her or his presence in the headquarter offices in Geneva.

Main Responsibilities

Office 365 Tenant Management (3 Tenants)

· Create new accounts, delete/Transfer/Block accounts of former Employees, manage multi-factor authentication;

· Ensure periodically that no unused accounts remain in the system;

· Create and Maintain AAD groups;

· Block security threats and communicate alerts and best practices to the users;

· General end user support;

· Manage relationships with Microsoft Philanthropies to maintain the non-profit status of the RET tenants;

· Manage billing of the licenses with the relevant RET finance departments;

SharePoint Portal Management​

· Create the structure for the RET Portals (SharePoint Hub sites) with department heads (access, basic layouts, retention policies, etc.);

· Manage and maintain access to the platforms and sub-sites;

· Maintain the Knowledge Management Portal automations (KM Forms: Staff Experience, Expertise & Capacity Development Needs; Lessons & Recommendation Survey, Country Expertise Form, Program Participant Survey, etc.);

Business Automation Processes

· Maintain and update the Leave Request automation (Power Automate – SharePoint – MS Forms);

· Maintain and update the Travel Request automation (Power Automate – SharePoint – MS Forms);

· Maintain and update the Timesheets automation (Power Automate – SharePoint – MS Forms);

· Finalize the Account Creation/Deletion/Modification automation (Power Automate – SharePoint – MS Forms);

· Develop Procurement App (Power Apps);

Reporting System

· Participate in the launching new projects;

· Support the work of the Reporting System Specialist;

· Ensure that the Azure backend of the Reporting System runs smoothly;

· Attribute access to the Azure backend appropriately;

· Lead technical updates to the Reporting System backend;

· Maintain the Reporting System SharePoint Portal and technical documentation

Other Responsibilities

· Provide clear proposals to allow RET systems to maintain or improve their efficiency, usability and security over time;

· Lead IT change projects, as required by the Chief of Staff;

· Execute ad hoc tasks, as requested by RET’s Chief of Staff;

In addition, like all RET Staff

· Comply with internal policies, ensuring that activities and his/her performance complies with what is established in RET’s Code of Conduct and other Manuals;

· Work as a team member to achieve RET’s goals;

· Manage in a transparent way RET’s resources, fulfilling effectively and efficiently the tasks entrusted;

· Propose, constructive, alternative solutions to problems that arise in the work area;

  • Office 365 Admin Consol & main Admin Centres (Exchange, Teams, SharePoint, AAD);
  • Power Automate;

Appreciated

· An strong understanding of data modeling;

· Elements of the Power Platform beyond Power Automate and Power BI (Power Apps, Dataverse, etc.)

· Intermediate SQL or other languages such as Python or command line;

· Working knowledge of GCP (Data Prep, Big query, Data Studio);

· KoboToolkit or other data capture applications;

· Other data cleaning or visualization tools;

Languages

· Excellent command of English;

· French and/or Spanish highly appreciated, German appreciated;
