Job Overview: The vision of the IRC Seattle Youth Program is that youth from refugee and immigrant backgrounds will have the skills and resources necessary to pursue a future of opportunity. The Youth Program works towards this vision by providing educational and enrichment opportunities to help school-aged youth from refugee and immigrant backgrounds catch up on missed education, adjust to a new school, accelerate English language development, and build positive relationships in the school and community. The program supports school-age youth and their families, and also provides support to teachers and school administration to better connect and serve these students. The Youth Program Coordinator is responsible for design, coordination, implementation, supervision and evaluation of IRC’s Individualized Learning Programs in the Puget Sound Region including the Individualized Tutoring Program and the Virtual Reading Programs. The Coordinator is also responsible for managing Youth Program volunteer coordination for all youth programs.

Major Responsibilities:

Program Design, Implementation and Coordination

  • Lead and coordinate all aspects of the following Individualized Learning Programs:
  • Individualized Tutoring Program
  • Afterschool Virtual Reading Programs
  • Summer Reading Program
  • Develop program design overviews, log frames, implementation manuals, and training for program expansion to new regions and districts.
  • Identify curriculum, resources, best practices, and innovative program models to allow IRC to effectively improve and support quality tutoring programs and increase the size and scope of programming.
  • Lead program implementation including family outreach and enrollment for both Virtual Reading and Tutoring programs, maintaining rosters of students and volunteers, tutor placements, problem solving with tutors and families, and increasing connections with teachers.
  • Provide training and technical support to parents/caregivers and students for successful use of digital tools including Canvas, Google Classroom, Zoom, Teams, and the summer reading program platform.
  • Facilitate Virtual Reading programs both during the school year and summer utilizing IRC’s reading programs books and activities.
  • Track donations and distributions in Integra for all Individualized Learning programs.
  • Partnership Engagement: attend in person events at local libraries, co-facilitate arrangements of space and guest speakers for reading programs with the Youth Program Specialists.
  • Plan and facilitate monitoring and evaluationto ensure program effectiveness, quality, and safeguarding. Develop and improve M&E systems and tools including quantitative and qualitative measures, student and family feedback processes, and feedback loops between tutors, families, IRC instructors, and teachers.
  • Ensure program policies and guidelines are followed by program staff, interns, volunteers and families. Ensure program supervision is completed in accordance to program guidelines including safeguarding training with all staff and volunteers, program supervision observations, and feedback calls with families.
  • Develop positive relationships with School-based and Community partners through effective communication and program coordination.

Youth Program Volunteer Coordination

  • Develop and maintain the Youth Program volunteer pipeline and connect development team to other Youth Program volunteer and development needs.
  • Coordinate with IRC Volunteer Coordinator and Community Outreach Coordinator for volunteer recruitment and onboarding.
  • Supervise Sr. Youth Program Specialist in volunteer processes, procedures, and systems to track volunteer onboarding requirements including interviews, background checks, references, and required training.
  • Manage the active volunteer roster and volunteer placements.
  • Develop and facilitate regular volunteer tutor training and tutor round tables with the Sr. Youth Program Specialist to facilitate ongoing learning and program quality improvement.
  • Develop and maintain systems for tracking volunteer placements, communication, and engagement.
  • Track and report on volunteer hours.
  • Connect with Youth Program staff to understand volunteer needs and roles and recruit and place volunteers within all youth programs under the supervision of respective Program Coordinators.
  • Develop processes to maintain volunteer engagement and retention.
  • Participate in Volunteer CoP across the RAI network to network, learn, and improve volunteer processes and implement best practices per IRC guidelines.
  • Work with local Development Team to build program stories and community awareness via newsletters, partnerships, and media highlights about Individualized Learning Program.

Program Reporting and Proposal Development

  • Complete program reportingincluding data collection and tracking, narrative reporting, and invoicing in accordance with donor requirements.
  • Support the Youth & Education Program Manager with proposal development for individualized learning programs by writing program overviews, summary of program outcomes, maintaining annual report data, developing concept notes and contributing to grant writing and proposal development.

Staff Development

  • Actively monitor and implement development plans for Individualized Learning Program staff and interns.
  • Create and edit program job descriptions, participate in interview and hiring procedures to ensure new staff and interns understand job roles and are fully onboarded to IRC portals and tools.
  • Manage staff of 3-7 people working in 2 program areas (Tutoring and Virtual Reading).

Other Duties

  • Participate in all program meetings, staff development activities, and fully engage as a member of the IRC team.
  • Comply with all policies, procedures, and protocols of the agency.
  • Other related duties as assigned.

External: School Districts (Teachers, Admin, etc.), Community Based Organizations, families

Job Requirements:

  • Relevant degree or equivalent experience in teaching, tutoring, youth development or volunteer management
  • Experience in training and facilitation utilizing adult learning principals
  • Experience or desire to work with high school, middle school and elementary age students; experience in tutoring or academic enrichment programs (i.e. summer or day camps, youth groups, after school programs, sports/recreation programs or clubs).
  • Cross cultural experience; connection and experience working with people from refugee and/or immigrant communities
  • Experience working with multi-lingual students and families
  • Committed to anti-racism and continual learning and growth
  • Experience in volunteer coordination/management
  • Demonstrated ability to use a variety of instructional strategies appropriate for individual student needs
  • Flexible and adaptable – able to quickly problem solve and change plans and activities according to student need or unexpected circumstances
  • Ability to maintain quality case notes and documentation in an accurate and timely manner.
  • Demonstrated experience with trauma-informed, person-centered approach.
  • English proficiency, both spoken and written, and professional proficiency in predominant language of local client base desired (Dari, Pashto, Arabic, Somali, Swahili, Kinyarwanda, Ukrainian etc.)
  • Strong written, verbal, and interpersonal communication skills
  • Comfortable working in high-stress environments; must be adaptable, flexible, and patient.
  • Strong organizational and time management skills.
  • Excellent problem-solving skills combined and the ability to prioritize duties and manage time effectively.
  • Proficient with Zoom and Windows operating system and confidence in computer skills (word processing, email, data entry); willingness and ability to learn new software.
  • Ability to work independently to ensure proactive, quality performance of duties, as well as ability to work as part of a team.
  • Willing to be First Aid/CPR certified upon hire

Working Environment***:***

  • Standard office setting at IRC’s office in SeaTac and remote within the King County vicinity; Occasional evening or weekend activities as needed.
  • Need access to reliable high-speed internet from remote office or ability to work from IRC’s office in SeaTac.
  • Need access to reliable transportation to travel and work off-site for participant related activities (i.e. schools, apartment complexes, community center etc.).
  • Typical schedule will be Monday – Friday roughly 10:00 – 6:00 or may shift slightly based on participant schedules.
