Counterpart International is currently seeking an Senior Administrative Officer (SAO) to play a key role in supporting our mission. Reporting to the CEO, the SAO provides overall administrative and project support to the CEO. The SAO role is a highly visible position at Counterpart, requiring interaction with a broad range of internal and external constituents. This is a full-time hybrid position based in Washington, DC and will require the employee to report for two days/week in Counterpart’s DC office. The ideal candidate will possess strong organizational and communication skills, acute attention to detail, and a strong motivation for efficient and effective solutions. This includes a proven track record of handling sensitive information with discretion and integrity.

Responsibilities

  • Provide support and project management for a range of initiatives in which the CEO plays a lead role.
  • Manage the CEO’s calendar including booking CEO travel, expenses, and daily workflow, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time.
  • Schedule internal and external meetings and staff events; coordinating all logistics and details including travel and lodging arrangements, providing relevant preparation materials, and ensuring appropriate follow-up.
  • Screen, direct, respond to, and prioritize calls and correspondence, facilitating the smooth exchange of information as a first point of contact for CEO.
  • Provide logistical support to the CEO including but not limited to scheduling and arranging meetings, coordinating the agenda setting with CEO/board chair/committee chairs, compile and distribute materials, attend meetings, prepare meeting minutes, and maintain corporate documents.
  • Compose, edit, design, and format documents.
  • Complete expense reports for reimbursement.
  • Develop and manage the annual budgets for the CEO’s office.

Qualifications

  • Bachelor’s degree or equivalent level of experience.
  • Minimum 5 years of work experience in administrative support, operations, and/or project management.
  • Prior experience providing high-level support to senior level staff.
  • Demonstrated experience in efficiently managing administrative tasks, including scheduling meetings, handling correspondence, organizing documentation, and responding to ad hoc requests.
  • Highly proficient in Microsoft applications, particularly Outlook for calendar management and Word for document creation, editing, and formatting. Experience with SharePoint, Excel, Power Point, Microsoft Project, Adobe Sign software preferred.
  • Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders, and to draft clear and concise communications.
  • Demonstrated ability to identify and resolve administrative challenges, exhibiting a proactive and solution-oriented approach in handling day-to-day tasks and unexpected issues. Proven experience and ability to manage a varied workload supporting a wide range of initiatives at the same time.

  • English fluency. Language skills in Spanish, French, and/or Portuguese preferred.

Annual Salary Range: $58,446-$75,980
