Job Profile

The Humanitarian & Programme Support Coordinator is responsible for supporting the management and administration of CAFOD’s International Programme. S/he provides executive assistance to the Deputy Director of International Programmes and is responsible for administrating and coordinating central business systems for teams under the Deputy and support to the International Programmes Management Team (IPMT). S/he also supports (cross-) team communications and provides focused support in the areas of Emergency Response, Humanitarian Policy, Programme Quality, Institutional Funding and Innovation, and Security management. The post is London-based and sits within CAFOD’s International Programmes and reports to the Deputy Director of International Programmes.

Person Specification

Essential Criteria

  1. An interest in maintaining or developing a career in high level administration/executive level support.
  2. Strong writing abilities, ranging from summarising complex discussions to drafting emails and correspondence.
  3. Experience in supporting administration on a 1:1 or team basis.
  4. Experience in assisting and coordinating the effective delivery of emergency/humanitarian programmes in complex and dynamic environments.
  5. Excellent administrative skills with the ability to develop, improve and maintain administrative systems.
  6. Excellent time management skills with the ability to multitask and prioritise independently.
  7. Ability to work under pressure, taking initiative to ensure timely and effective achievement of team objectives.
  8. Excellent communication skills and able to work confidently with others by phone, email and in person.
  9. Professional interpersonal skills and confidence with diverse levels of hierarchy, abilities, cultures, and languages.
  10. Sound judgment, sensitivity, and discretion in handling confidential information.
  11. Ability to make judgement as to when to take the initiative on behalf of the Deputy Director of International Programmes.
  12. Numerate, with the ability to monitor financial information and to manage budgets.
  13. Highly computer literate and confident with Word, PowerPoint, Outlook and Excel.
  14. Flexible and willing to work outside normal working hours when required, with a willingness to respond quickly, particularly at times of humanitarian crisis;

Desirable Criteria

  1. Good level of practical knowledge and experience of using the SharePoint document management system.
  2. Knowledge of crisis management and experience with security management systems and procedures.
  3. Fluency in French, Spanish, Portuguese and/or Arabic.
