The Opportunity
As the Human Resources Coordinator, you will be responsible for performing the day to day administrative tasks and maintenance for the Human Resources department. This role will have a vital part in ensuring the smooth operation and organization of our employee life cycle and employee experience. This role has a significant cross-collaboration element requiring the Coordinator to work with all PSU Foundation Staff, Managers, Leadership and stakeholders throughout the organization.
We are looking for a resourceful and adaptable self-starter who works well both independently and collaboratively. The ideal candidate will be motivated and passionate about growing in their Human Resources career and is looking forward to being involved in all aspects of an HR department in a fast-moving, non-profit and higher education environment.
Essential Duties & Responsibilities
Responsible for providing support to the Human Resources department and related functions (75% of work performed):
- Serve as the first point of contact for the Human Resources department.
- Effectively respond to questions and help both internal and external customers troubleshoot employee related inquiries and issues.
- Assist the Human Resources Manager with the full employee life cycle management process, including recruitment, hiring, onboarding and offboarding of all PSU Foundation employees.
- Provide support to the Human Resources Manager on annual processes related to recruitment, training, employee surveys, open enrollment, performance reviews and merit increases, end of FY and calendar year maintenance and workplace safety.
- Hold Leave of Absence (LOA) information sessions with employees, process LOA paperwork and administer the LOA cycle.
- Handle the day to day functions of benefit administration and 401(k), including eligibility and enrollment, employee communication and education.
- Responsible for the creation, running, and distribution of various HRIS and Payroll system reports.
- Input and maintain accurate data in the Human Resources Information System (Paycom) and HR filing systems.
- Contribute to the creation and coordination of staff trainings, events and employee engagement opportunities.
- Serve as the HR liaison and co-chair on the organizations Safety Committee. First point of contact for all employee accidents, incidents and near misses, performing investigations when needed.
- Assist the Human Resources Manager with projects and tasks related to the department, organization initiatives, strategic goals and the creation and maintenance of company policies and procedures.
- Track trends and developments in HR functional areas and recommend improvements and needed changes for compliance with federal, state and local employment, benefits laws and regulations.
- Performs other tasks as assigned.
Responsible for the maintenance and processing of the organizations Payroll (25% of work performed):
- Processes full-cycle monthly payroll including regular pay cycles, pay adjustments, and manual checks.
- Inputs all new employee data and provides new employee training on timecard entry, and other Paycom features.
- Assists in administering time and attendance records for all employees. This includes reviewing timecards for completeness, accuracy, and consistency with Foundation policies, and procedures.
- Audits and reviews all aspects of the payroll prior to and after transmission to ensure accuracy.
- Trouble-shoots payroll discrepancies and resolves at root cause.
- Coordinates with PSU to process payroll deductions for REC Center, Transportation & Parking, tuition benefits, and other shared benefits.
- Ensures compliance with federal and state tax wage and hour laws and benefit programs as they relate to payroll.
- Verifies the accuracy of benefit invoices and processes for payment.
Education and Experience Requirements
- You have a Bachelor’s Degree in Human Resources, Business, or a related field; Equivalent combination of education and experience will be considered in lieu of a degree.
- You have two years of administrative experience. Experience supporting a Human Resources or Payroll department is preferred.
- Experience with Human Resources Information Systems, preferred.
- Experience processing payroll, preferred.

Other Essential Information
- Department: Human Resources
- Work Days/Hours: Full Time, 40 hours/week, Monday-Friday
- Work Type: We currently have a hybrid work model at the PSU Foundation. The HR Coordinator will be required to work 2-3 days in the PSUF office and the remainder of the work week can be worked remotely in Oregon or Washington.
Compensation and Benefits
- Annual Compensation: $47,000 – $57,000 (depending on experience)
