The Pacific Community (SPC) is the principal scientific and technical organisation in the Pacific region, supporting development since 1947. We are an international development organisation owned and governed by our 27 country and territory members. In pursuit of sustainable development to benefit Pacific people, our organisation works across more than 20 sectors. We are known for our knowledge and innovation in such areas as fisheries science, public health surveillance, geoscience, and conservation of plant genetic resources for food and agriculture.

The Operations and Management Directorate (OMD) provides corporate services to all SPC divisions and programmes. It consists of three key teams: Finance, Human Resources and Information Services. OMD is focused on improving the effectiveness of systems, policies and management so as to provide high-quality customer-oriented services.

The Human Resources Assistant will provide administrative support to the HR team.

The key responsibilities of the role include:

HR Administration Support

  • Provide administrative support with the Ministry of Foreign Affairs (MOFA) submissions
  • Assist the recruitment team with interview scheduling
  • Assisting with procurement needs
  • Support staff with quick start induction (employee ID cards etc.)

File Management

  • Archiving and maintaining HR filing room
  • Documents filing and retrieval during internal/external audits
  • Organise staff files online and HR documents
  • Photocopying and scanning

Support HR Services

  • Coordinate HR Helpdesk tickets
  • Assisting with the processing vendor invoices, education payments including purchase order request and processing e-payments
  • Draft employment letters related to probation, contract extensions and internship agreements
  • Assist with logistics support to mobility requirements e.g., hotel and transport bookings

Support HR Projects

  • Support the HR Manager or nominee on HR projects and assignments as and when requested example maintaining a training record database, writing up a Standard Operating Procedure (SOP)

Key selection criteria

Qualifications

  • An advanced diploma or degree qualification in human resources or business administration or relevant field.

Technical expertise

  • Minimum of 1-2 years of human resources or business administration experience
  • Proficient user of Microsoft Office programs (Excel, Word, PowerPoint)
  • Familiarity with working in a dynamic and challenging environment
  • Excellent communication and interpersonal skills.
  • Aptitude for the provision of high-quality service

Language skills

  • Excellent English communication skills (oral and written)

Interpersonal skills and cultural awareness

  • Ability to liaise with staff at all levels of the organisation
  • Ability to work in a multicultural, inclusive and equitable environment

Salary, terms and conditions

Contract Duration – Until 30 June 2023

Remuneration – The Human Resources Assistant is a Band 6 position in SPC’s 2023 salary scale, with a commencing taxable salary range of 1,892-2,365 per month, plus local staff benefits. An offer of appointment for an initial contract will normally be made in the lower half of this range, with due consideration given to experience and qualifications. Progression within the salary scale will be based on annual performance reviews.
