Job Title: Human Resources Assistant

Department: Human Resources Department

Compensation Band: Grade 5

Reports To: Human Resources Manager

Country/Location: Egypt

About CRS

The CRS Egypt country program began in 1956 at the invitation of the Egyptian president Nasser by providing relief assistance to the victims of the Suez War. Over the following few decades, CRS Egypt moved from large-scale food relief to long-term poverty alleviation and development programs. CRS Egypt works in a wide variety of areas within the development field.

Currently, CRS Egypt has three main programs: education assistance program and livelihoods program for refugee support, and local partnership. Projects under these programs range from the provision of technical assistance and capacity building to partners, promoting peace and tolerance, educational grants for refugees and assistance to refugee community schools, and technical support and start-up funds for refugee and vulnerable Egyptian entrepreneurs. Additional programming includes Emergency Preparedness and Response projects that arise as needed. The Operations department, supported by a regional Management Quality unit, ensures the country program develops and maintains the highest level of operational standards.

CRS Egypt currently holds a main office in in Maadi with activities in Greater Cairo, Upper Egypt and the North Coast.

Job Summary:

You will provide comprehensive and timely information, clerical, and administrative assistance to meet specific HR service needs that support high-quality programs serving the poor and vulnerable. You will deliver quality support in your role, applying clearly defined HR processes, procedures and service standards.

Job Responsibilities:

  • Provide administrative and clerical support to HR transactions and processes. Prepare, type, photocopy and scan employment-related documentation, such as employment contracts, termination letters, salary technical adjustments letters, materials for staff learning and development events, etc.
  • Provide responsive and high-quality service to employees with requests on personnel administration and clerical issues.
  • Provide support to recruitment process: screening CVs, setting up tests and interviews, etc.
  • Compile documentation and data, perform data entry and data verification on personnel administration transactions (e.g. leave balances, staff attendance, etc.).
  • Responsible of updating personnel files, compiling and updating employee records (hard and soft copies)
  • Contribute to coordinating logistical arrangements for staff events, such as staff retreats, staff learning and development events (workshops, trainings), orientations, welcome/farewell parties.
  • Manage staff medical insurance claims and requests: manage complaints and feedback related to service provider. Handle special approvals for some medical services, prepare quarterly payment requests for the medical service suppliers,
  • Assist supervisors with monitoring the timekeeping process: monitor timesheets submissions; maintain employee leave balance report; reconcile timesheets and leave requests with attendance sheet and report any discrepancies to supervisors
  • Following up and ensuring that newly hired staff has submitted their reference checks and hiring legal papers in accordance with CRS recruiting policy and the local labor law.

Typical Background, Experience & Requirements:

Education and Experience

  • Graduate degree in a respective field;
  • Professional diploma/certificate or courses in Administration or Human Resources Management a plus.
  • Minimum of two years’ work experience in an administrative and/or human resources assistant role with some familiarity of human resources practices. Experience with an international organization a plus.
  • Experience using MS Windows and MS Office packages, in particular Excel and Word. Hands-on experience with data entry into online databases and forms.

Required/Desired Foreign Language Excellent command in English and Arabic.

Travel Required: Job requires travel more frequent to sites within Cairo metropolitan area.
