The Opportunity

As an Operations Coordinator, your main duty will be to assist and support our community of 400+ students, faculty and staff Hult Dubai’s campus. You will be a central figure on campus, flawlessly executing our front desk and office-wide processes while maintaining high productivity and a level head in stressful situations. This role requires constant interaction with all of Hult and EF/Ashridge stakeholders: staff, customers, vendors, partners, and more. You will gain extensive knowledge of Hult’s campuses, processes, and functions, which will allow you to provide the best possible service to these groups as well as identify opportunities to improve our existing offerings. The Operations team are the central resource of campus and are responsible for driving our culture through building operations and supporting events, programs, and communication. We know that every interaction, email, and act of kindness matters – no matter how big or small. The ability to work indipendently leading your own projects while communicating amongst a highly collaborative team and maintaining a friendly, positive attitude at all times is critical. Given that Dubai campus part time programs run on weekends while full time programs run on weekdays, the ability and willingness to work on weekends (at least two/month) is a must.
Responsibilities
Responsibilities and specific tasks include, but are not limited to:
First point of contact for all building entrants at main desk
Answering phones and welcoming/directing guests
Managing daily office requests from Hult and EF/Ashridge employees, faculty and students such as general office Q&A, room bookings, and collecting staff feedback
Assisting with planning and delivery of on-campus events, such as orientations, workshops & social events
Answering general student queries and ensuring they are directed to the correct department
Maintaining and streamlining internal policies including health and safety protocols
Negotiating and maintaining relationships with vendors
Working as part of the Operations Team to ensure the effective and efficient running of the campus operations
Other projects as assigned
Values & Skills
Bachelor’s degree
Have a minimum of 1-2 years of full-time work experience in organizational, operational or logistical functions
Be skilled in Word, Excel, PowerPoint and student management databases
Familiarity with tools like Salesforce and Canvas (preferable)
Have excellent oral and written communication skills, in day-to-day dealings with faculty, staff, and students, both junior and senior
Have a high attention to detail
Have excellent project management skills, exceptionally well organized.
Be good at problem solving and have the attitude that “nothing is impossible”
Be an independent thinker, able to use his/her/their own initiative and able to prioritize tasks and operate to tight deadlines
A proven track record in administration and experience in an academic environment is preferable
Native English speaker or fluent level of written and spoken English
Proven track record and commitment to outstanding customer service
Highly analytical with excellent problem solving and project management capabilities
Flexible approach to work and able to maintain composure in a fast-paced environment
A high energy and enthusiastic individual who thrives under pressure, is able to use their own initiative, prioritize tasks and operate to tight deadlines
Personable, persuasive and a strong influencer, with the ability to cultivate and maintain relationships
Passion for the highest standards of customer service
Intensely service minded;
Proactive, results-oriented with a positive, can do attitude
Collegial attitude and able to work collaboratively across teams and campuses
An appetite for learning and growing in a fast paced environment
