Provides a full range of secretarial/administrative support to the HR leadership team members. A visible role requiring uppermost level of confidentiality, discretion, professionalism and flexibility.

This is a Fixed-term contract role for 1 year with a possibility for further extension.

Key Responsibilities

  • Supports HR leadership team members including diary management (organizing meetings, interviews and calls and any rescheduling as required).
  • Preparation and submission of travel expense reports.
  • Create Purchase Requisitions, Purchase Orders and track invoices and costs against the PO, Vendor creation, maintain files.
  • Provides general HR administrative support to the department as requested.
  • Administrate HR intranet page.
  • Uses own independent judgment and discretion to perform other administrative duties within generally defined policies and practices and supports the Leadership team.
  • Set up Onboarding’s for new team members.
  • Perform other duties as assigned, e.g. for HR digital team and projects.

Key Requirements

  • Experience of working as a PA of senior leadership teams.
  • Must be business fluent in English; German language would be an advantage.
  • Entry/mid-level experience within Administrative field within in a mid-tier matrix organization.
  • Advanced proficiency in MS Office and understanding of SAP, SAP Ariba, MS Teams, Workday, Concur, Kronos is preferred.
  • Prior experience of supporting a busy senior executive would be an advantage.
  • “Can-do” attitude and highly motivated to do the best job.
  • Happy to multi-task and deal with changing priorities and a demanding workload.
  • Owns the positions and see opportunities to improve.
  • First class communication skills – written and oral.
  • Ability to build strong and trusted relationships with internal and external contacts.
  • Must be a good team player.
