The HR Systems Administrator is part of the HR systems team and reports to the Coordinator HR Reporting and Systems.

Objectives of the position

Improve HR services through technology implementations; Support, train Key/End users and provide all round system support to users, this may include employees and managers.

A day in the life of a HR Systems Administrator

As HR system administrator your working days may look like this: as the contact point for HR systems, you will be receiving different types of requests from HR systems users across the organization, helping them with queries and issues and building relationships along the way. Some of those requests may need additional support from ICT, which you will be escalating issues whenever needed, while also testing fixes and updates (like the monthly regression testing) or even new features that you’ve helped identify or develop together with our vendors as an improvement project. You will be developing and maintaining relationships with both internal and external stakeholders, like the key user meetings that you will host or the weekly meetings with the systems vendors.

Some days you will be working together with the HR Data and reporting team to ask or provide advice on reporting data to improve data quality and also develop support materials to the HR systems users. You will be involved in projects regarding systems related processes, updates, improvements and roll outs and provide advice to ICT, HR management and coordinators.

This is a varied role where you will be the focal point on all HR systems related issues and learn along the way while helping users make the most out of them, so every day is different!

Main responsibilities

  • Builds and maintains strong partnerships across HR and the organization ensuring stakeholders are kept informed and where applicable, consulted, about System and Process changes that impact on their areas;
  • Collaborates with users within the HR department, Reporting & Analytics team, and technical teams to ensure that system and reporting needs are met;
  • Acts as a linking pin between ICT and HR department on Systems;
  • Assess readiness of teams for change within the organisation and identify possible resistors to change;
  • Assists HR IT Business Lead in planning and coordinating (in line with project management standards) process changes and system roll outs;
  • Provide support to the project manager (when applicable) and various system projects in the HR department;
  • Gathers and analyses requirements improvements from key – and end users for System or Process improvements or implementations;
  • Create and maintain HR System training materials for the HR department;
  • Provide system training and facilitate workshops with various groups at multiple skill levels;
  • Propose/Define actions for data quality corrections to be carried out.

Candidate Profile

We are looking for an individual who has:

  • Educational background in Human Resources, Computer Science or related fields.
  • A minimum of 2 years’ experience in a similar role.
  • Extensive and strong experience in HR systems. Experience with Microsoft Dynamics or Taleo is a plus.
  • A strong understand in g of HR processes and procedures.
  • Knowledge of project management tools and proven experience in execution thereof.
  • Experience in supporting IT projects and change processes from and HR perspective.
  • A strong communicator.
  • Fluency in English, with good written and verbal communication skills.
